Overview
Klaviyo is seeking a proactive, highly organized, collaborative, and resourceful Executive Business Partner (EBP) to provide business and administrative support to our Engineering Team. The EBP will act as an extension of their leaders to maximize efficiency and ensure the organization’s operational cadence is clear, taking ownership of managing-up and downstream to ensure deliverables are met timely and accurately. Responsibilities include calendaring/scheduling, preparing agendas, travel arrangements, and managing special projects such as organizing employee meetings and events, recognition incentives, and employee engagement initiatives. Oversees scheduling and calendar management for assigned executives, prioritizing time and attendance with executives. Manages the operational cadence of the organization, ensuring pre-planning, meeting scheduling, and follow-up action items and communication cascades are completed for major initiatives throughout the year. Attends meetings, takes notes on action items, follows up with content and deliverables, and tracks completion of key deliverables and follow-ups. Organizes, executes, and assists with team activities (staff meeting agendas, on-sites/off-sites, team social events, etc.). May facilitate and lead organization-wide employee meetings. Handles time-sensitive, confidential information with discretion and ensures required actions are addressed promptly. Completes travel arrangements and expense reimbursement reports for the executives supported. Partners with other Executive Business Partners to ensure cross-functional alignment on projects, milestones, and internal events. Takes initiative on researching, implementing, and improving systems and processes; owns small projects as they arise. Who You Are
Experience managing executive-level calendars, coordinating complex travel, and handling budgets and expenses. Excellent verbal and written communication skills, ability to influence, and the ability to communicate with all levels of the organization. Discretion and integrity in handling highly confidential information. Strong time management, organization, and attention to detail; ability to prioritize in a fast-paced environment. Proactive in anticipating needs and obtaining information to execute projects successfully. Collaborative with a team-first mentality; experience partnering with stakeholders on multiple projects. Strong relationship management skills and the ability to work with a variety of personalities. Self-starter who can operate independently, move quickly between tasks, and solve problems creatively. Experience with event logistics, especially in a project management context. Proficient in Google Suite, Slack, Zoom, and other communication tools. Willingness to seek and implement constructive feedback to improve skills and knowledge. Education And Experience
5+ years in an administrative support role at VP level or higher. Experience in fast-paced, hyper-growth, scaling technology companies. High school diploma or equivalent.
