Overview
Position Description and Overview: Processes, compiles, and gathers records and information to comply with records requests based on the Texas Public Information Act. Processes internal requests and intergovernmental transfer of records. Responsible for performing clerical and administrative duties, filing important documents, and keeping records safe. Responsible for proper maintenance of central hard copy files, coordination between the complex files and computer records, and performing research tasks as assigned. Maintain and enter data into a records management system, GovQA, and other data. Job Duties
Assists the Engineering department in providing requested information to the public, internally, or to other government entities by mail, electronically, or delivery. Responds to daily phone calls and emails. Responsible for scanning and filing vital records into the departments system. Respond to Emails, Phone Calls, or requests daily. Responsible for administrative support to a department or individual. Duties include typing, filing, answering phones, scheduling, coordinating meetings and conferences, and sorting/distributing mail. Process records requests according to the Texas Public Information Act. Perform other such duties as required. Responsible for following all Harris County policies, including the Office of the County Engineers policies and procedures. Capable of learning new technology, procedures, and information daily. Education:
High School Diploma or GED. Experience
Proficiency in the use of Microsoft Office Suite. Working with hand and power tools. Excellent written and verbal communication skills. Excellent customer service skills and the ability to manage time/multitask are necessary. Ability to recognize conflicting data prior to data entry. Ability to use imaging software and equipment. Familiarity with Microsoft Office Suite (Word, Excel, Outlook, and SharePoint, etc.). Manage physical boxes, files, and shelving units. Identify and locate records and information using available technology. Ability to adapt when emergency or short turnaround projects arise is needed. Strong written and oral communication skills. Excellent interpersonal and conflict resolution skills, and the ability to deal tactfully with a diverse group of people in a professional manner in a complex organization. Position Type and Hours: Full-Time | Regular | 40 hours per week. Subject to early mornings, late evenings, weekends, and holidays at times, depending upon the project or workload. Salary: Commensurate with experience, based on 26 pay periods. Physical Demands And Environmental Exposure
Most assignments will be performed in an office, meeting, or operations command center environment, but some field work may be required. May be required to work extended work hours during activation of disaster recovery operations for an unspecified length of time (varies based on the extent of the event). This position requires bending, stooping, and lifting to 25 lbs., frequent walking, standing, sitting, reaching, and ascending/descending stairs. The physical demands described here are representative of those that must be met by an employee to perform the essential functions of this job successfully.
