We are partnering with a nonprofit think tank in Washington, DC, to find a skilled Conference and Event Services Associate to help manage and execute their meetings, conferences, and special events. This role is key to ensuring all logistical details run smoothly, from coordinating event spaces and catering to managing vendor relationships and providing exceptional service to both internal teams and external guests. The ideal candidate is highly organized, detail-oriented, and proactive, with a passion for delivering top-notch event experiences. Salary: $27 - $30 per hour
Shift: First
Work hours: 9 AM - 5 PM
Education: Bachelor's degree
Responsibilities
Maintain knowledge of event schedules, locations, room capacities, and specific requirements for internal and external events.
Familiarize with all conference room features, services, and operating hours.
Ensure adherence to conference room policies and procedures.
Know food and beverage menu options and safety guidelines.
Meet event standards, including meeting, catering, and other functions.
Assist with pre-calls for meetings when needed.
Attend daily meetings, communicate changes, and ensure accurate event space setup.
Follow instructions for meeting set-ups, AV, and catering needs, addressing non-compliance.
Prepare estimates for food and beverage needs for internal and external groups.
Assist with planning and executing events requiring group accommodations, coordinating logistics including food, beverage, travel, housing, and meeting space.
Coordinate with travel management for approvals and vendor relations.
Respond to attendee questions and finalize event details.
Manage event budgets and logistics.
Provide post-event information and distribute survey links.
Utilize event management software (e.g., Cvent, Salesforce, ServiceNow) for communication and coordination.
Skills
Event Coordination (minimum 3 years of experience)
