Sr. Facilities Manager
for a well-known financial services company. Job Title: Sr. Facilities Manager Location: San Jose, CA 95113 (in-person) Job Type: Contract-To-Hire Length: 2-Months (with potential for extension) Hours: M-F 7am-4pm with potential after hour requirements Pay Rate: $50.00 - $64.00 per hour Summary: You will manage a team responsible for providing building operations and maintenance for a facility, campus, or portfolio of medium to large sized buildings and garages. This job is a part of the Facilities Management functional area which focuses on all aspects of the operations of a set of assets and buildings, providing support to the Facilities Manager(s) and Chief Building Engineer regarding all workplace experience services, repairs, maintenance, landscaping, janitorial, and more. Responsibilities: Provide senior-level supervision to Facilities Manager(s), Assistant Facilities Manager(s), Chief Building Engineer and their teams, ensuring effective leadership development, staff training, and performance evaluations. Apply a broad knowledge of the business, own discipline, and how own discipline integrates with others to achieve team and departmental objectives. Be the point of contact for and proactively push responsive, timely, and accurate communications to the on site client representative. Identify and solve technical and operational problems of complexity for hard and soft services. Create, manage update, and optimize annual and quarterly budgets and reforecasts, including capital expenditures, operating budgets, accruals and variance reports across multiple regions. Maintain real-time understanding of expenditures in relations to the quarterly budget. Ensure financial accuracy, standardization, and compliance from general ledger standardization, budgeting, purchase order creation, invoice receipting, accruals, and reforecasting. Understand and recognize broader impact(s) and risk(s) across the department and campus. Create action or mitigation plans to minimize impacts and risks. Communicate out to the Regional Alliance Director. Improve and change existing methods, processes, and standards within job discipline. Identify, mitigate, and resolve hazards. Provide guidance for or directly manage emergent issues to resolution. Proactively communicate with the client and Regional Alliance Director. Create standard operating procedures as needed. Develop and implement strategic plans for workplace services, facility operations, maintenance, and capital improvement projects across the campus and/or region. Conduct regular facility inspections, ensuring compliance with local, state, and federal regulations and driving operational efficiencies. Foster and maintain positive client relationships, addressing and resolving complex facility issues and conducting high-level meetings. Oversee and negotiate with vendors and contractors, ensuring quality service and cost-effectiveness. Provide feedback to and lead initiatives in partnership with the Health, Safety, and Environmental department to enhance environmental health and safety procedures across all facilities under your purview. Work collaboratively with the Space & Occupancy and Energy & Sustainability departments, ensuring information is cascaded appropriately downstream and incorporated into facilities operations, budgets, and reforecasts. Conduct advanced process and procedure training on maintenance, repairs, and safety best practices. Engage in high-level problem-solving, addressing organizational challenges that may not be evident in existing systems and processes. Engage the Procurement department Model and promote Company RISE values, influencing various stakeholders to achieve shared objectives. Ensure level-appropriate understanding and compliance to the MSA, CPIs, and KPIs for yourself and the team. Ensure compliance to the Company CMMS, training, standards, templates, and business guidelines and requirements for yourself and the team. Requirements: Bachelor's Degree preferred with 5 - 8 years of relevant experience. In lieu of a degree, a combination of experience and education will be considered. High Rise and commercial experience Experience in the areas of staffing, selection, training, development, coaching, mentoring, measuring, appraising, and rewarding performance and retention is preferred. Exchanges and explains complex and difficult information, conveys performance expectations, and handles sensitive issues. Prior financial, building engineering management, building systems, and workplace experience services management required. Prior on-site client relationship management required. Experience in managing a corporate headquarter location with executive presence required. Leadership skills to motivate the team to achieve broad operational targets with impacts on own job discipline, multiple job disciplines, and department. In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc. Intermediate math skills. Ability to calculate complicated figures such as percentages, fractions, and other financial related calculations. Comprehensive knowledge of core building systems (HVAC, electrical, plumbing, fire safety), technical aptitude to oversee complex systems like Building Automation Systems (Client), and understand building structures. Awareness of related fields such as sustainability, energy management, and digital facility tools like CMMS/CAFM.
