District Attorney Secretary - Division of Victim Services. The Riverside County District Attorney's Office - Division of Victim Services seeks to fill a District Attorney Secretary vacancy in Riverside. The incumbent will be the assigned secretary to the Assistant Director and Regional Managers, performing secretarial and complex clerical tasks of an administrative/legal nature. This position interfaces with executive management, executive assistants from the Board of Supervisors, vendors and stakeholders, and requires a high degree of confidentiality, initiative, and resourcefulness.

About The Division Of Victim Services

The Division of Victim Services (DVS) is a division within the Riverside County District Attorney's Office. DVS serves as a Victim/Witness Assistance Center pursuant to California Penal Code 13835 and is recognized by the Riverside County Board of Supervisors as the county’s primary provider of comprehensive services to victims and witnesses of crime. DVS is dedicated to empowering victims, ensuring victims’ rights are respected, and helping navigate the criminal justice system with compassion and support. DVS operates multiple programs that provide ongoing support to victims of crime, including California Victim Compensation Board Claims Unit, K9 Facility Dog program, Mass Casualty Crisis Response Team, Crime Prevention Unit services, and the community engagement program S.T.O.R.I.E.S.

Examples Of Essential Duties

  • Types correspondence, reports, memoranda, legal case records, and documents from rough drafts or general instructions.
  • Schedule appointments and relieve the supervisor of administrative detail; take and type minutes of meetings; assist in carrying out administrative policies and procedures.
  • Coordinate time, place and participant arrangements for meetings utilizing Outlook.
  • Create and process purchase orders; process purchase requisitions and travel requests; track reconciliations for expenses, vouchers, and purchase cards.
  • Assemble information from various sources and arrange into proper format; proofread materials for punctuation, spelling, grammar; set up and maintain office files and indexes.
  • Provide general information to office and telephone callers; maintain control files to monitor status and expedite staff assignments.
  • Sort, screen, prioritize and route incoming mail; maintain office supply inventories and order supplies.
  • Assist with event planning; design flyers and assist with newsletters using Canva and PowerPoint.
  • Assist with onboarding new employees and offboarding exiting employees; assist with scheduling interviews and assembling panel binders; reset equipment and handle exit paperwork.
  • Assist with updating the organizational chart monthly.
  • Provide vacation and temporary relief as required.

Minimum Qualifications

Option I: One year as either a Secretary I or Legal Support Assistant II with Riverside County.

Option II: Three years of increasingly responsible clerical experience, one year in a secretarial capacity performing a wide range of complex legal clerical duties. Substitution options: completion of 18 semester or 27 quarter units from a recognized college or 360 hours of training may be substituted for one year of non-specialized clerical experience.

Option III: Four years of increasingly responsible clerical experience. Substitution options: completion of 18 semester or 27 quarter units or 360 hours of training may substitute for one year of non-specialized clerical experience.

All Options: Possession of a valid California Driver's License is required. Typing skill of 50 net words per minute is strongly desired; online typing tests may be required. Knowledge of typing layouts, office equipment, filing systems, business English, record keeping, basic office procedures, and arithmetic. Ability to operate office equipment, proofread, input data, prioritize calls and mail, and monitor deadlines.
