An established, award winning architectural firm based in Walnut Creek and Oakland, California is seeking a highly skilled Senior Project Coordinator. This is a key position working with the Principals and all employees. Reports to:
President This is a 40 hour
in-office
position. No remote work. Responsibilities
Entitlement packaging / submittals / tracking. Assemble submittal package and submit via online or email or hardcopy drop off. Follow up to verify receipt by agencies. Maintain tracking log. Update PM weekly. Calendar project entitlement expirations and send reminders to request extensions as needed Contract preparation/ coordination/ review/ tracking Sent out RFP packages for consultant fees Prepare proposals in company standard format Prepare AIA contracts using proprietary software Review potential contracts and highlight items for partner review Coordinate contract and insurance requirement reviews with Dealey Renton Track contracts received and coordinate signatures and execution Maintain log and contract files Prepare Additional Services and Amendments, coordinate signatures, track executions and log and file. Distribute contracts to accounting and assist AP to resolve invoice/contract conflicts Research: Quickly assemble site/zoning/client information for potential project or feasibility studies. Research and create Agency & Cost Schedule spreadsheets in Excel for potential projects Confirm jurisdiction and submittal processes with agencies Keep eyes and ears open for information helpful to the firm re our industry, trends or projects – by tracking industry news, taking photos, and updating of research files. Internal research of firm files and plans as needed Monthly Invoice preparation using Excel and Ajera Prepare Microsoft Project schedules as requested Prepare PowerPoint slides / theme booklets, and layout Photo Punch Lists in Word or PowerPoint General work duties: Project Coordination –
Coordinate movement of information/plans /files between consultant team via print, email, Cloud, etc. Make follow up calls/emails as necessary to expedite work. Prepare Specifications per markups and coordinate printing and distribution. Log and process RFIs and Submittals for some projects to support PM/PA. Update project directories. Process site photos. Perform project filing. Scan incoming documentation to the network as necessary.
Permitting/Bidding/C.A.
–
Prepare permit submittals and track. Prepare RFPs for consultants and send out packages – track responses. log and process submittals, RFIs and the like. coordinate drawing and document distribution. Assist with preparation of addendum packages and distribute. Assist with drafting bulletins and distribute. Assist with closeout documentation.
Office Administration
–
Assist as needed with: setting up project network folders, FTP sites, project emails for new jobs. Assist with shipping after hours. Coordinate printing/copying/scanning (in-house and out). Create PDF files for staff. Turn PDF files into word docs. Upload files and create links for file sharing. Track architectural licenses and continuing education units for Principals and send reminders regarding CEUs and renewals to staff. Calendaring items so that follow up happens automatically for repeat events. Assist with Timecard entry. Assist with Project Billing Projections (Backlog), maintain accuracy of spreadsheet and PM meeting scheduling Proofread documents as needed
Qualifications
US Citizenship or current INS authorization to work in the United States is required. Candidates that are living in the East Bay will be given first consideration.
