Summary

Reporting directly to the Executive Vice President, the Executive Assistant provides support in a one-on-one working relationship and serves as the primary point of contact for internal and external matters pertaining to the EVP. The Executive Assistant also serves as a liaison to senior management teams and oversees special projects. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven and results-driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Responsibilities

Executive Support

  • Completes a broad variety of administrative tasks for the EVP including: managing an extremely active calendar of appointments; creating reports; composing and preparing correspondence that is sometimes confidential; compiling agendas and documents for meetings.
  • Prepare agendas, take detailed meeting notes, and track action items.
  • Act as gatekeeper, managing communications and prioritizing requests for the EVP

Operational & Administrative Support

  • Liaise with internal departments (Design, Merchandising, Retail, Marketing, Finance) to ensure seamless execution of EVP initiatives.
  • Support project management, ensuring deadlines are met and deliverables are tracked.
  • Assist with vendor and partner communications.
  • Organize files, reports, and maintain confidential records.

Personal Assistance

  • Coordinate personal appointments, travel, and errands as needed.
  • Manage personal and household administrative tasks (events, reservations, special projects).
  • Handle expenses, invoices, and budget tracking for both professional and personal needs.

Qualifications

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills
  • Expert level written and verbal communication skills
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer / client service and response
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment

Education and Experience Requirements

  • Bachelor's degree preferred
  • 3 + years of experience supporting C-Level Executives in entrepreneurial environments

Salary: The anticipated base salary is $70k - $80k annually. Actual compensation will be determined based on a variety of factors including, but not limited to, experience, skills, education, internal equity, and location.
