Overview

Role Description

We are seeking a highly professional and detail-oriented Executive Assistant to join our team in an in-office, full-time role. You do not have to have an active real estate license. This position is central to the smooth operation of the business, providing direct support to the Principal and leadership team.

This is not a stepping stone into sales or brokerage. It is a long-term professional opportunity for an individual who thrives in a fast-paced, high-stakes environment and values discretion, consistency, and excellence.

Responsibilities

  • Keep the Principal organized by managing priorities, calendars, and follow-up tasks
  • Coordinate scheduling for client meetings, property tours, and team appointments with accuracy and professionalism
  • Serve as a trusted point of contact for sensitive and confidential information
  • Provide day-to-day administrative support, including scheduling, travel coordination, and expense reporting
  • Draft, review, and maintain correspondence, reports, and documents
  • Act as liaison between leadership, clients, and vendors with professionalism and discretion
  • Collaborate closely with the Chief of Staff to support team operations and ongoing projects
  • Maintain accurate data across internal systems, databases, and reporting tools
  • Assist with light personal support tasks, such as coordinating gifts, reservations, and occasional errands

Qualifications

  • 3–5 years of experience in an administrative or executive assistant role
  • Proven ability to handle confidential information with discretion and professionalism
  • Excellent written and verbal communication skills
  • Strong organizational and time-management abilities, with attention to detail
  • Experience coordinating schedules, client appointments, or property tours (or similar client-facing support work)
  • Proficiency in Google Workspace and Outlook; familiarity with project management or CRM tools preferred (Monday.com a plus)
  • Familiarity with Canva or similar design tools is helpful but not required
  • Bachelor’s degree preferred, but not required
  • Prior experience in real estate, finance, law, or other professional services is a plus

This is a full-time, in-office role based in New York City with an annual salary range of $55,000–$75,000, commensurate with experience. The position offers competitive paid time off, company holidays, and a supportive team culture that values balance and professional growth.
