Position Overview
The Business Operations Manager plays a central role in ensuring CPI Service runs smoothly behind the scenes. Reporting to the General Manager, this position oversees dispatching, finance administration, HR coordination, and office operations. The Business Operations Manager ensures that technicians are scheduled efficiently, employees are supported, finances are tracked accurately, and all internal processes comply with company standards and California regulations. Key Responsibilities
Dispatching & Scheduling Manage day-to-day dispatching, technician scheduling, and job coordination. Optimize use of Housecall Pro (HCP) and Airtable for work order tracking, KPIs, and client data. Partner with Service Manager to balance technician availability with customer priorities. Finance & Administration Process payroll, invoices, accounts payable/receivable, and credit card reconciliations. Assist GM with monthly reporting, budgeting, and expense monitoring. Maintain insurance, licensing, and vendor contract records. Ensure accuracy in customer billing, collections, and purchase orders. Human Resources Coordinate recruitment efforts, onboarding paperwork, and employee setup (email, phone, benefits, etc.). Maintain personnel files, PTO tracking, and HR compliance documentation. Administer health insurance, retirement plan enrollment, and employee communications. Support GM with employee relations, performance reviews, and policy enforcement. Office & Compliance Management Develop and maintain standard operating procedures for admin and back-office tasks. Monitor compliance with OSHA, insurance, and labor law requirements. Track company tools, phones, stipends, and credits (per company policy). Implement process improvements to streamline office efficiency. Qualifications 3–5 years in business operations, dispatch, HR, or finance (service trades preferred: plumbing, HVAC, or construction). Familiarity with California labor law and HR best practices. Strong skills in payroll, invoicing, and office administration. Experience with field service platforms (Housecall Pro preferred), accounting software (QuickBooks or equivalent), and productivity tools (Google Workspace, Airtable). Strong organizational skills with attention to detail. Ability to multi-task in a fast-paced environment. Competitive salary with performance-based bonus opportunities.
