Provides administrative support to two directors, including managing calendars, taking meeting notes, coordinating meetings, and sending timecard reminders to ~30 designers. Also responsible for reviewing time submissions before closeout for manager approvals.
A typical day includes managing calendars, attending some meetings to take notes, sending reminders to designers, checking timecards, and coordinating administrative tasks for directors.
The work environment is an individual contributor role with collaboration alongside another administrative assistant. The environment is supportive with training provided.
The role is office-based and full-time, 40 hours/week, with standard hours starting around 8 AM. On-site work is required Tuesday–Thursday, with remote work on Monday and Friday. Overtime is not expected but possible during events.
Responsibilities and Qualifications
- Microsoft Office (especially Outlook for calendar management)
- Strong communication skills
- Organization and meeting coordination
Non-technical skills necessary include communication, problem solving, maturity, and teamwork. The ideal candidate has 1–3 years of administrative support or customer service experience.
Preferred skills include experience supporting directors or executives, exposure to large teams (50+ employees), and experience with UKG (timekeeping software).
