About This Position
The City of Phoenix Law Department is comprised of the City Attorney's Office, which handles representing the city in civil matters, and the City Prosecutor's Office, which handles the prosecution of misdemeanor crimes committed in Phoenix. The City Prosecutor's Office is seeking a Legal Secretary to provide administrative support to the City Prosecutor's Office Appeals and Community Prosecution Bureaus. This is a critical role that performs a wide variety of complex, confidential, administrative, and secretarial tasks. Additionally, this role represents the City Prosecutor's Office by communicating and obtaining information, following up on delegated assignments, and knowing when to act and when to refer matters to City Prosecutor or delegee. They also work directly with attorneys and the administrative staff for assignments and maintaining case files and attorney calendars.
Responsibilities
- Assembling data and coordinating workflow for the timely preparation of routine correspondence and legal documents by word processing.
- Reviewing documents for completeness and typographical and formatting errors.
- Preparing and filing court documents with various courts using the e-filing systems.
- Managing docketing and attorney calendars for court dates.
- Responding to and/or referring questions (via phone, email, or in person) from other departments, citizens, and the media to the appropriate personnel and/or City department.
- Preparing letters, memos, agendas, and reports.
- Collecting and recording various statistical data.
- Drafting and maintaining unit procedures.
- Processing invoices timely.
This position may be eligible for hybrid teleworking options after training is complete and is implemented at the discretion of the Department Director.

Salary
Pay Range: $23.74 to $35.08 per hour. Hiring Range: $23.74 to $31.82 per hour.
Pay Range Explanation

- Hiring range is an estimate of where you can receive an offer. The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.
Internal Only: Please understand that this is pay grade 343. If selected, your salary offer will be based on the applicable promotion or demotion worksheet in accordance with the City Pay Ordinance.

- Demotions occur when the last two digits of the pay grade decrease.
- Lateral transfers occur when there is no change to the last two digits of the pay grade.
- When there is a change in the first digit of the pay grade, there may also be a change to your classification or unit.

Minimum Qualifications
- Two years of clerical experience in a legal setting, including training in typing and stenography.
- Other combinations of experience and education that meet the minimum requirements may be substituted.
- All finalists for positions are subject to a criminal background check applicable to the department or position.
- Candidates who receive a conditional offer of employment must be fingerprinted and will have their fingerprints used to check the Criminal History Records of the State of Arizona Department of Public Safety and the Federal Bureau of Investigation. Any records returned will be reviewed to determine the candidate's suitability for the job.

Preferred Qualifications
- Associate's degree in a legal assistant program or a related field.
- Legal secretary/paralegal experience.
- Experience in/with legal terminology, principles, precedents, procedures, and research methods; drafting and formatting pleadings and correspondence; preparing documents for criminal case preparation; rules of Criminal Court Procedure, Discovery, and City ordinances; investigative and interviewing techniques; docketing; filing in other courts; maintaining confidential records.
- Bilingual in Spanish preferred but not required.
