Accounts Receivable/Accounts Payable Specialist (AR/AP Specialist) at Education Week. Education Week, a nonprofit media organization that provides trusted news on K-12 American education, seeks an AR/AP Specialist to join the Accounting Team. Reporting to the Controller and working with the Accounting Team and other staff, the AR/AP Specialist supports the full cycle of accounting related to accounts receivable and accounts payable. Responsibilities include producing accurate customer invoices, maintaining cash receipt records, applying payments to invoices across multiple platforms, and performing collections outreach on delinquent accounts. The AR/AP Specialist also processes Accounts Payable, maintains the AP sub-ledger, reviews and records vendor invoices, prepares weekly payment files, and maintains vendor records. Accuracy, confidentiality, and reliability are essential.
Location and work model: This role follows a hybrid work model and is based in Bethesda, Maryland. Candidates must reside in the local area and be able to be in the office as part of the current policy of two days per week. Salary: The salary range for this full-time, hybrid position starts at $60,300 - $65,000/year.
Responsibilities Accounts Receivable
Prepare customer invoices for two business lines and compare to contracts to verify accuracy, making necessary adjustments.
Apply customer payments to advertising invoices within Salesforce/Certinia and other invoices managed in our third-party subscription platform.
Review bank transactions and maintain check logs in Excel to update the accounting system and prepare bank deposits weekly.
Process clients’ payments by credit card in Authorize.net and record transactions in the accounting system.
Review accounts receivable records in the AR system to ensure accuracy and prepare monthly reconciliations.
Contact delinquent accounts and work with the Controller to determine appropriate collection approaches.
Accounts Payable
Review and record all vendor invoices and payment requests, ensuring proper coding to general ledger accounts.
Prepare weekly payment batches for review by the Controller.
Respond to inquiries regarding invoice coding and payment status.
Maintain accurate vendor records and documentation (W-9 and payment/banking information).
Assist with monthly reconciliations and annual preparation of 1099s.
Qualifications And Skills
Minimum of an Associate’s degree in Accounting and/or 3+ years related AR and AP experience.
Knowledge of accounting principles and practices.
Ability to maintain a high level of accuracy in preparing and entering AR and AP invoices and payments.
Excellent verbal and written communication skills, including the ability to communicate professionally with various levels of management, clients, vendors, and other employees regarding financial information.
Detail-oriented, deadline-focused, and able to handle multiple tasks simultaneously.
Experience with accounting systems (Salesforce, Certinia, Bill/Bill.com, and expense reporting systems a plus).
Intermediate Excel skills (basic formulas, Pivot Tables, VLOOKUP).
