Job Title: Administrative Assistant (Mid-Level)

Assignment: 3 months (contract) possible extension

Location: Framingham, MA 01701 | Hybrid (Tuesdays & Wednesdays onsite)

Hours: 36.25 per week

Pay Range: $25 — $28.60/hr.

Seeking an experienced Administrative Assistant to support leaders within the Planning & Allocation team. This role requires a highly organized professional with the ability to manage multiple priorities, coordinate logistics, and interact with internal and external stakeholders with tact and professionalism.

Responsibilities

  • Manage and schedule multiple complex calendars, meetings, and appointments.
  • Coordinate domestic travel itineraries and process related expenses.
  • Serve as a point of contact for inquiries, providing information and involving appropriate teams as needed.
  • Organize meetings, including catering, room bookings, materials, and follow-ups.
  • Provide timekeeping support and serve as backup for other Administrative Assistants.
  • Support training sessions, conferences, and home office events with logistics and preparation.
  • Maintain organized filing systems, records, and office layouts.
  • Order department supplies and coordinate equipment for new hires.
  • Analyze administrative practices and recommend improvements for efficiency.

Qualifications

  • 5–8 years of experience as an Administrative Assistant supporting senior leaders.
  • Proficiency in Microsoft Office Suite (PowerPoint, Excel, Outlook, Word).
  • Experience managing multiple calendars, travel arrangements, and expense reports.

Preferred Skills

  • Experience in a large corporate environment.
  • Demonstrated flexibility and change management skills.
