Our Lady Star of the Sea Catholic Church in Ponte Vedra Beach, Florida is seeking an Administrative Assistant. This is a part-time position, 20 hours per week, reporting to the Office Manager.

GENERAL OVERVIEW: The Administrative Assistant will assist the Director of Faith Formation with all aspects of the Faith Formation program, as well as assist with Youth Ministry and Parish Special Events. This role contributes to an atmosphere of teamwork and cooperation among all parish staff and volunteers. Some evening and weekend hours will be required.

Primary Duties And Responsibilities:

  • Assist the Administrator of Faith Formation with goals, objectives, and strategies for the total Faith Formation Program.
  • Assist with the coordination of liturgical, sacramental functions and ensure all sacramental records are entered accurately and timely, in accordance with Diocesan guidelines.
  • Communicate with participants, parents, and parishioners to keep them informed of Faith Formation efforts.
  • Assist the Youth Minister with paperwork and other required documents.
  • Design materials to promote Youth Ministry events.
  • Assist the parish office with special events, including recruiting volunteers, coordinating set-up and logistics, and working with vendors as needed.
  • Other duties as assigned.

Knowledge, Skills, Abilities:

  • Basic understanding of Catholic Teachings and Scripture.
  • Personal commitment to Christ, the Catholic Church; ability to embrace the mission of the Parish.
  • High school diploma or GED required; higher education degree or certification in a related field preferred.
  • Strong computer skills and knowledge of Microsoft Word, Excel, Power Point, Publisher, and various social media platforms.
  • Agreeable, hospitable, and excellent interpersonal skills.
  • Demonstrates discretion and confidentiality.
  • Ability to listen and follow instructions, with effective communication skills and the ability to work unsupervised.
  • Ability to always maintain a professional manner, with integrity and honesty.
  • Displays attention to detail and thoroughness, with the ability to be flexible and maintain a cooperative spirit.
  • Ability to effectively organize time and multi-task.

Language Skills: Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the public.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.

REASONING ABILITY: Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
