Position Summary

The Front Desk Receptionist is the first point of contact for clients, visitors, and callers, ensuring a professional and welcoming experience while supporting the daily operations of the firm. Responsibilities include greeting guests, answering and routing calls, scheduling appointments, managing mail, and completing administrative tasks with accuracy and confidentiality. This role requires strong communication skills, attention to detail, and a high level of professionalism. Timeliness and reliability are essential, as consistent presence and punctuality are critical to maintaining smooth office operations and excellent client service.

Key Responsibilities

Greet clients and visitors with professionalism and courtesy.

Answer, screen, and direct phone calls promptly and accurately.

Manage the reception and office area to ensure it remains orderly, clean, and professional.

Handle incoming and outgoing mail, packages, and courier deliveries.

Schedule and confirm client appointments, depositions, and meetings.

Assist with administrative tasks, including data entry, filing, and document preparation.

Maintain confidentiality of sensitive and privileged information at all times.

Monitor office supplies and coordinate orders when necessary.

Support attorneys and staff with general office needs as required.

Demonstrate reliability by maintaining consistent, timely attendance each day.

Qualifications

High school diploma or equivalent required; associate’s degree preferred.

Prior experience in a professional office setting, ideally in a law firm, strongly preferred.

Excellent verbal and written communication skills.

Can type 50-60 words per minute.

Strong organizational skills and attention to detail.

Proficiency with Microsoft Office Suite (Word, Outlook, Excel) and ability to learn legal software.

Ability to manage multiple tasks while maintaining professionalism under pressure.

Dependable, punctual, and committed to consistent attendance.
