UCSF Health Job location: San Francisco, CA. Full-time, 100% on-site. Shift: Days (8 hours), Monday - Friday. Location: Mount Zion (SF) and affiliated UCSF Health sites. Responsibilities
Provide administrative support to the Facial Plastics OHNS (Otolaryngology) practice under direct supervision of the Practice Supervisor. Serve as primary contact for tertiary new and returning patients requiring ambulatory care; support practice operations, complex surgery scheduling, billing, and interdepartmental coordination. Oversee registering and scheduling patients, check-in/check-out, referral work queue management, authorizations, insurance verification, surgery depot management, OR block time utilization, APeX in-baskets, scanning and filing. Address and resolve day-to-day operational escalations; maintain daily administrative operations and communications with clinic staff, social workers, physicians, and other departments. Assist with template building, scheduling improvements, and EMR (EPIC) related tasks to ensure seamless day-to-day clinic operations. Participate in performance improvement initiatives, data pulling, and staff feedback; represent the department in ambulatory-wide initiatives and present updates at staff/division meetings. Support staff orientation and ongoing training; redistribute work within the OHNS Facial Plastics team; cover for OHNS staff when unavailable; supervise and cover other areas when leadership is off-site. Qualifications
Required Qualifications
Knowledge of Patient Rights & Responsibilities, Joint Commission standards, and Centers for Medicare/Medicaid regulations; medical terminology; data collection and analysis techniques. Strong knowledge of practice operations, patient-scheduling systems, medical/insurance terminology, information systems, patient service standards, and regulatory requirements. Analytical and critical thinking skills; ability to analyze problems, determine appropriate intervention, and implement solutions. Interpersonal skills for collaboration with management, staff, consultants, and outside agencies; ability to manage patient grievances and resolve issues promptly. Diplomacy, organization, and calmness under pressure; ability to work independently in a fast-paced environment; manage multiple tasks and high call volume. Effective written and verbal communication; proficiency with Windows-based software (Word, Excel, Outlook); knowledge of EMR systems. 1-3 years of experience in surgery scheduling; experience with EPIC EMR. Preferred Qualifications
