Our client, a highly regarded personal injury law firm with a small, tight-knit team, is seeking a talented Office Manager to support the day-to-day operations of their office. This is a hands-on role that touches nearly every aspect of firm operations, from supervising staff to managing vendors, payroll, and bookkeeping.
The ideal candidate has at least five (5) years’ administrative experience and is trustworthy, detail-oriented, and comfortable handling both professional and confidential personal matters for the firm’s founders.
As this role is critical to daily office operations, an in-office presence is required five days a week.
Responsibilities:
Maintain a welcoming, professional office appearance and greet visitors upon arrival
Oversee and replenish inventory of office supplies
Handle personal administrative tasks for the founding partner, including bill payments, insurance coverages, and personal financial deadlines
Provide general administrative support to a team of paralegals and marketing professionals
Manage biweekly payroll through an outside provider (review and process vendor submissions)
Oversee bookkeeping in QuickBooks, including billing, invoicing, expense tracking, and payments
Serve as frontline IT support and coordinate with third-party IT provider for more complex issues
Requirements:
5+ years administrative experience required, ideally in a professional services or legal environment
Proven background in billing, payroll, invoicing, vendor relations, and bookkeeping (QuickBooks preferred)
Presentable and polished with a client-service mindset
Highly organized, detail-oriented, and proactive with a “get it done” attitude
Trustworthy and discreet, with experience handling confidential financial and personal information
