An outstanding investment firm is seeking a talented Executive Assistant to provide high-level administrative and operational support to a small team of senior leaders, including Partners, MDs, VPs, Directors, and Analysts. The Executive Assistant will play a critical role in keeping the team organized, efficient, and supported. Responsibilities Manage complex calendars, heavy internal and external meeting scheduling, and travel arrangements, including detailed itineraries (domestic and international). Track investor calls, meetings, prospect mailboxes, and departmental processes. Prepare meeting materials, presentations, books, bios, and board-level communications. Coordinate and assist with planning and execution of internal and client events, firm-wide projects, philanthropy initiatives, and brand management activities. Prepare and submit expense reports for the department, ensuring accuracy and timeliness. Act as liaison between executives and their direct reports, coordinating larger projects, priorities, and action items. Proofread, edit, and produce written correspondence and presentations for internal and external stakeholders. Anticipate needs and proactively address potential issues before they arise. Attend meetings as needed, take notes, track action items, and follow up on behalf of executives. Ensure meetings are productive by reviewing agendas in advance, scheduling requisite preparation time, and coordinating follow-up. Flexibility to support executives during peak periods or outside standard business hours as required. Ideal Experience 2–8 years of administrative or executive support experience in a corporate environment; financial services experience strongly preferred. Strong written and verbal communication skills, with exceptional attention to detail. Ability to manage multiple priorities in a fast-paced environment and work independently while collaborating effectively with a team. Experience managing international travel and proficiency with Concur. High level of professionalism, discretion, and experience handling confidential information. Strong organizational and project management skills, with exceptional follow-through. Proficiency in Microsoft Office; Salesforce experience is a plus. Positive, flexible attitude with the ability to adapt to the personalities and working styles of multiple executives. Up to $105,000 salary per year (based on experience)
