We're seeking a proactive and detail-oriented Office Administrator to support the daily operations of our client's Madison office. This role is essential in creating a welcoming and organized environment for both team members and visitors, while ensuring administrative processes run smoothly and efficiently.
Primary Duties
Client & Team Support : Act as the central point of contact for internal staff and external clients, ensuring timely and courteous communication.
Communication Management : Handle incoming and outgoing calls, direct inquiries appropriately, and maintain accurate message logs.
Administrative Coordination : Oversee office logistics including supply ordering, mail handling (USPS, FedEx, DHL), and vendor coordination.
Workspace Oversight : Maintain a clean, safe, and well-organized office environment, promoting health and safety standards.
Scheduling & Time Management : Manage calendars, book meeting rooms, and coordinate appointments to optimize team productivity.
Key Responsibilities
Develop and maintain filing systems to support efficient document retrieval and storage.
Monitor inventory levels and place orders to ensure supplies are always available.
Evaluate vendors regularly to ensure competitive pricing and quality service.
Greet guests professionally and provide accurate information or assistance as needed.
Respond to voicemails and emails promptly, ensuring no communication goes unanswered.
Pay: $50,000 - $55,000
Pay Details:
$50,000.00 to $55,000.00 per hour
