A prominent financial firm is seeking a confident, resourceful, and resilient Executive Assistant to provide high-level support to a Managing Partner. This is a fast-paced and highly visible role that requires exceptional organizational skills, sound judgment, and the ability to thrive in a dynamic environment.
The Executive Assistant will play a pivotal role in managing a complex and demanding schedule, coordinating frequent domestic and international travel, and ensuring flawless execution of numerous meetings. Acting as a trusted right-hand, this individual will handle confidential information with utmost discretion while serving as a key liaison across the firm and with external stakeholders.
Success in this role requires strong interpersonal skills, a proactive mindset, and the ability to anticipate needs before they arise. The ideal candidate will be adept at balancing multiple priorities under pressure, solving problems creatively, and maintaining a positive, professional demeanor in all interactions.
Responsibilities
Managing and maintaining a complex and extensive calendar with multiple changes daily.
Formatting, editing, proofreading, preparing, and ensuring the timely delivery of all designated client projects.
Organizing and managing all travel itineraries (both domestically and globally), meetings, and board meetings with continued updates and changes.
Supporting the consultant and client relationship, including consultant expenses, client invoices/receivables, and other financial reports.
Creating and maintaining an efficient file management and follow-up system for all processes.
Maintaining client communications, consistently building strong relationships and good rapport internally and externally.
Maintaining the accuracy, quality, and integrity of all information in the database.
Maintaining and developing job-related skills by attending Company learning programs and keeping up-to-date with job/industry-related reading.
Generating new ideas through seeking out creative approaches and better ways of doing things.
Setting priorities and reviewing progress against goals regularly.
Multitasking effectively and efficiently.
Ideal Experience
A college degree is strongly preferred.
6+ years of administrative experience in roles requiring strong project coordination.
Demonstrating business acumen and financial awareness.
Proficient knowledge of all Microsoft Office products.
Experience with Google Docs, Google Drive, and Airtable.
Exposure and interest in utilizing AI, bringing cutting-edge tech skills.
Excellent communication skills, verbal, written, and listening.
Experience dealing with people at all levels of an organization, getting and giving often complex and sensitive information in both verbal and written communications.
Professional services experience is a plus.
