Key Responsibilities of the Property Administrator: Deliver hands-on administrative support for the day-to-day management of a commercial property portfolioincluding tenant communication, scheduling, and document oversight. Act as the go-to contact for tenant inquiries, coordinating service requests and ensuring timely, effective follow-through with maintenance teams or external vendors. Collaborate with property and asset management teams to assist in budget preparation and tracking, as well as oversight of expense reports and capital projects. Keep lease abstracts, COIs, and compliance documentation organized and up-to-date to meet all regulatory and lease requirements. Support rent collection and payment processing, including generating invoices, tracking payments, and following up on delinquencies. Help manage vendor relationships by tracking service contracts, COIs, and performance metrics. Schedule and support regular property inspections, documenting findings and ensuring appropriate follow-up. Partner with accounting to reconcile tenant accounts, confirm billing accuracy, and contribute to monthly financial reporting. Prepare and distribute professional tenant communications, such as building notices and newsletters. Assist with tenant move-ins/move-outs and onboarding, providing welcome materials and ensuring a smooth transition. Qualifications of the Property Administrator: Bachelors degree in real estate, business administration, or a related field preferred. 23 years of experience in property administrationcommercial real estate experience strongly preferred. Exceptional organizational skills with a strong attention to detail and the ability to balance multiple priorities with ease. Proficient in Microsoft Office Suite; familiarity with property management software such as Yardi or MRI is a plus. Excellent communication skills, both written and verbal, with a polished, professional demeanor in all tenant and vendor interactions. A collaborative, team-first attitude combined with a proactive, solutions-oriented approach to property operations.
