Overview
ESFM is the corporate facilities management (FM) division of Compass Group USA. This Facilities Coordinator role is part of the Global Real Estate & Facilities Team and is responsible for ensuring that buildings and services meet the needs of the people who work in them. The Facilities Coordinator will be accountable for ensuring that services such as cleaning, maintenance and repairs (interior and exterior) are in suitable condition, and will work with the engineering team to ensure repairs and maintenance meet client satisfaction. This position will support day-to-day operations and facilities activities across multiple buildings on campus, acting as the “Face of the Team” for communication, quality assurance, problem solving, and helping GRF partners understand how buildings are being used and how services are delivered. On the front lines of day-to-day operations and facilities support, this role will not have direct control over facility operations or budgets but will function in a quality control capacity to help maintain a productive workspace and partner with others within the GRF team to provide the best environment possible.
Responsibilities
Own the entire facility for the respective zone, overseeing 100,000–200,000 SF
Manage vendor relationships and hold onsite vendors accountable
Identify, obtain quotes, and manage all vendors providing workplace-related services; monitor performance and quality
Serve as the primary department contact for clients’ campus population; evaluate user requests and deliver optimal solutions
Conduct regular zone walk-throughs to identify issues and coordinate resolutions
Manage small-scale projects and workspace reconfigurations in the zone for jobs up to $100k
Oversee client programs as required; act as liaison for campus-wide mass communications
Notify users of potential disruptions and keep employees informed about programs, services, and construction projects
Develop and enforce facility standards, policies and procedures; manage vendor contracts, building audits, and trainings
Safety and security duties include liaison with the security team, emergency response plans, and regulatory compliance
Purchasing and reporting duties: manage quotes and invoicing, maintain service reports and accomplishments; perform additional tasks as assigned by leadership
Qualifications
Bachelor’s Degree preferred; if no degree, 2 years of relevant experience
2 years of service experience with emphasis on facilities, corporate services, property management, events/hospitality, or related office management
Ability to handle multiple requests in a fast-paced environment; strong follow-through
Excellent time management; service-minded with strong customer focus
Strong communication and interpersonal skills; ability to influence at all levels; multiple language skills a plus
Creative problem-solving abilities; intermediate computer literacy; proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
