Job Summary

The Employee/Student Health Office Assistant 2 (Keyboarding) - Student Health duties include but are not limited to: database entry, e-filing, managing incoming forms and outgoing releases of information. Compile and organize analytical reports, facilitate prior authorizations, and assist with medical referrals. Schedule and communicate with college departments and outside facilities for clinical rotations for all programs, regarding medical clearances and health compliances. Order medical and office supplies, office furniture, and equipment; and maintain purchase orders for each fiscal year. Operate office equipment such as scanners, printers and copiers. Alerts Office Manager of equipment failures unable to resolve on own. Reviews work completed by others to ensure correct spelling/grammar. Coverage for the front desk positions (Office Assistant 1(keyboarding)) for breaks, lunch and time off. Work with other departments and colleges to ensure timely clearance status for employees and students. Maintain all charts for 3rd year students going to Binghamton every Spring. Supports Binghamton Campus by sending necessary information on students and communicates clearance with all students prior to heading to Binghamton. Participate in all SHAC meetings; composes, types, and distribute minutes for all SHAC meetings. Answers all messages in PNC and checks office voicemails daily. Assist in the coordination of Student Orientations. Advise employees and/or students on the polices pertaining to COVID testing and/or exposures and sends call to triage nurse if further clarification is needed. Occasionally assist with resolving a billing error for students/employees. Communicates with drug testing vendor and or sites for clarity on results and when necessary, decide if an in-person drug screen is needed. Occasionally handles drug screen issues and makes Office Manager aware of the issue and determines appropriate resolution. Manage calendar, meeting requests, and correspondence for Senior Clinical Operations Manager.

Minimum Qualifications

Must be a qualified employee of New York State and have had one year of permanent competitive or 55-b/55-c service as an office assistant, clerical or keyboarding title allocated to Grade 5 or higher. Open competitive (Non-competitive, NY HELPS) Qualifications:

One year of clerical experience where majority of work time is spent performing keyboarding, data entry, chart compilation or arrangement or various tasks involving typing into computerized systems.

Work Days

Schedule based on 40 hour work week. Monday-Friday between the hours of 7am-4:30pm.
