Our client is a growing solar energy consulting firm dedicated to helping residential and commercial clients navigate the transition to renewable energy.
Position Overview
We are seeking a highly organized, detail-oriented Office Manager/Executive Assistant to support our company's day-to-day operations and provide direct assistance to the Owner/CEO. This role is integral to maintaining smooth business operations and will be the administrative backbone of our organization as we continue to grow.
Responsibilities
- Manage office operations including supplies, equipment, mail, and vendor relationships
- Coordinate the CEO's calendar, appointments, and travel arrangements
- Handle incoming calls, emails, and correspondence professionally
- Process invoices, expense reports, and perform basic bookkeeping tasks
- Maintain organized digital and physical filing systems for company documents
- Schedule and coordinate client consultations and follow-ups
- Assist with preparation of client proposals and presentations
- Organize team meetings and take detailed notes/minutes
- Support marketing efforts, including website updates and social media management
- Manage customer relationship management (CRM) system
- Assist with special projects as needed
Qualifications
- 3+ years of experience in administrative support, office management, or executive assistance
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite and Google Workspace
- Experience with CRM systems and basic bookkeeping software
- Self-starter with the ability to prioritize tasks and manage time effectively
- Professional demeanor and commitment to confidentiality
- Problem-solving mindset and adaptability to changing priorities
- Interest in renewable energy and sustainability (preferred but not required)
