Enrollment Director, Pope St. John XXIII STEM Academy – Tacoma

Archdiocese of Seattle CATHOLIC SCHOOLS is hiring a part-time Enrollment Director for Pope St. John XXIII STEM Academy. Compensation $20.00 - $25.00 per hour, based on degrees and experience. This position is not benefits eligible. 5 hours per week, flexible schedule. 12 months. Job Type Part-time, 2025 - 2026 School Year Note To support a strong launch, the position may begin with two full-time weeks of paid work to set up an Enrollment Handbook and establish enrollment goals. Position Overview

The Enrollment Director leads and catalyzes the school’s efforts in marketing, recruitment, enrollment management, new family orientation, retention, and re-enrollment at Pope St. John XXIII STEM Academy. This part-time role (5 hours per week, year-round) supports the mission of PSJSTEM as an essential ministry of Pope St. John XXIII Parish by strengthening the school’s visibility, communication, and engagement within both the parish and broader community. Responsibilities are organized below; teachings, policies, and processes must align with Archdiocesan guidelines. Objectives

Parish Mission Alignment: Develop and implement a plan to build, enhance, and expand PSJSTEM Academy’s place as an essential ministry of Pope St. John XXIII Parish community. Enrollment Growth: Implement a comprehensive enrollment management plan to reach a minimum of 85% of the Academy’s capacity. Preferred Skills and Experience

Experience in marketing, admissions, customer service, or a related field. Excellent organizational skills with attention to detail and follow-through. Comfort with digital tools such as email marketing, social media, Google Workspace, and enrollment platforms. Ability to work independently, manage limited hours effectively, and collaborate with school leadership. Understanding of and willingness to embody Catholic values and community. Ability to communicate clearly and professionally; bilingual (Spanish or Vietnamese) is a plus but not required. Be able to care for a group of children; awareness of the needs of young children; capacity to support the school’s mission to prepare students for college. Outline of Responsibilities

Marketing & Recruitment

Collaborate with leadership to communicate PSJSTEM’s mission, programs, and benefits. Create an elevator speech for consistent messaging. Establish a Parent Partner (Ambassador) program to communicate the Academy’s value from a parent perspective. Target recruitment using enrollment potential data, including the Early Learning Center. Engage parish families and communicate educational benefits of a PSJSTEM education. Form a working team to assist recruitment, retention, database management, and measurable enrollment goals. Coordinate marketing efforts (social media, website, digital campaigns, parish outreach, print materials). Set and monitor clear enrollment goals. Parish & Community Engagement

Integrate with the parish’s strategic plan; promote Academy visibility in parish ministries. Provide multilingual highlights for communications (English, Spanish, Vietnamese). Develop parish PR pieces to highlight Catholic education values and outcomes. Foster cultural engagement between parish communities and the Academy. Enrollment Process Management

Oversee inquiries, applications, admissions, and re-enrollment with welcoming communication. Follow up with families at various stages of the enrollment process. Ensure systems are efficient; operate Finalsite; produce reports; manage data. Ensure enrollment procedures align with Archdiocesan guidelines and state requirements. Maintain accurate enrollment records and provide regular reports to the principal. Tuition Assistance

Review and communicate tuition assistance processes to welcome and ensure access. Assist new and returning families with related applications. Retention and Re-enrollment

Partner with school leadership to monitor student and family satisfaction. Develop initiatives to strengthen family engagement and retention. Lead the re-enrollment process with clarity and participation from current families. Prospective Family Outreach

Plan and facilitate orientation for new families; support satisfaction and retention. Coordinate tours, shadow days, and informational meetings; maintain follow-up systems. Data & Reporting

Provide timely, measurable reports on enrollment trends and recruitment effectiveness. Track outcomes and share results to demonstrate the Academy’s impact. Conditions of Hiring
