Overview
The Palo Alto Art Center is looking for a
Visitor Services Coordinator
to provide exceptional visitor and customer service support to the community. This position will also support Art Center revenue-generating facility rentals by providing facility rental information to the public, introducing the community to rental spaces at the Art Center, booking facilities in our reservation system, and providing follow up with renters. This position oversees scheduling for our House Manager hourly staff who support facility rentals. At the Palo Alto Art Center, creativity, community, and connection come together. Friendly, responsible, and customer-service oriented. Ability to use and/or learn class registration and House Manager scheduling software. Comfortable working independently and as part of a team. Qualifications
Customer service and admin experience in a public setting. Experience working with software programs such as Microsoft Office, CivicRec, Home Base, etc. Work Hours And Schedule
15–20 hours per week, onsite. Some shifts will be regularly scheduled; others will vary based on rentals and operational needs. Evening and weekend availability is required. Greet visitors and respond to in-person, phone, and email inquiries from the public about Art Center exhibitions, programs, facility rentals, classes, and workshops, as well as other Community Services Department programs. Coordinate class registrations and point-of-sale support. Schedule House Managers for facility rentals as needed, assigning shifts through Home Base. Provide staffing for facility rentals as needed. Provide tours of rental facilities to the public as needed. Support the Facility reservation process for customers using the City of Palo Alto’s CivicRec reservation system, including coordinating contracts and taking deposits and payments. Provide information to renters about Art Center facility rental procedures and regulations. The Selection Process
