Executive Assistant Winchester Hall - Frederick

Non-exempt (compensatory and/or overtime eligible); full-time; 40 hours per week; Monday - Friday; 8:00 a.m. - 4:30 p.m.; full-benefits
Overview This professional position is responsible for providing comprehensive, administrative support to the County Executives Senior Staff (Chief of Staff, Director of Government Relations & Strategic Partnerships, Project and Policy Advisor, and Community Liaison in the County Executive's Office). Supervision is received from the Executive Services Supervisor.
Responsibilities
Provide comprehensive, administrative, and scheduling support to the County Executive's Senior Staff
Perform confidential and special projects; research and prepare reports for the County Executive's Senior Staff
When appropriate, accompany the County Executive's Senior Staff at public and governmental meetings, follow-up and act on meeting decisions and resolutions
Coordinate day-to-day administrative activities with County departments, officials, the public, etc.
Process procurement requests, place orders and do accompanying paperwork (p-card purchases), and other transactions in the automated financial system (Infor)
Track and monitor county business documents and other official documents
In conjunction with the Human Resources Division, assist with the recruitment and selection within the NEOGOV online hiring system, to include coordination of interviews, candidate notification, new hire onboarding, training, etc.
Manage postings, videos, and other documents to Granicus for County Executive’s Office
Assist with posting announcements/information to the County's website including County Executive's Office webpage (CivicPlus)
Utilize the FCG Visitor Management System to schedule any visitors expected for the County Executive's Office
Assist with maintaining schedule of reservations for use of Winchester Hall meeting rooms
Provide information and assistance to staff, the general public, and telephone callers; respond to e-mail correspondence; and take messages or make referrals to other staff as appropriate
Perform reception duties, which includes telephone coverage, assist with mail processing, greet/escort visitors and provide other office support
Compose and prepare correspondence; perform other general clerical duties (e.g. scanning, photocopying, collating, filing, etc.)
Attend occasional hearings/meetings and prepare minutes, as needed
Assist with special meetings, events, and activities including room reservations, overseeing catering, and the preparation of meeting materials
Perform other related duties as required

Qualifications
Associate's degree
Minimum 4 years of progressively responsible professional administrative work experience
Intermediate skills in Microsoft 365 to include PowerPoint
NOTE: A combination of related education and/or work experience may be considered towards the overall requirements of this position
Knowledge / Skills / Abilities
Strong clerical and record-keeping skills, including the ability to accurately perform basic math and financial functions; ability to accurately compile and prepare statistical data and reports
Ability to effectively take meeting minutes and transcribe from notes
Strong attention to detail
Strong and effective spoken and written (English) communication skills
Discretion and good judgment in dealing with confidential matters and sensitive information
Ability to maintain a pleasant, professional demeanor and maintain effective working relationships with co-workers, government officials, and the general public using diplomacy and professionalism in all situations
Preference May Be Given For
Advanced proficiency in Microsoft 365
Experience with INFOR financial system
Work experience in municipal, county or state government
Physical Demands / Working Conditions

Available for varied working hours, as needed, for meetings or other office priorities/events
