Join us for clean cars and personal growth! What the Role Is We are seeking an experienced and detail-oriented Payroll Specialist to manage and process payroll for our organization. The ideal candidate will have extensive experience with ADP Workforce Now, advanced Excel skills, and a proven track record in managing weekly payroll, multi-state payroll, and commission-based pay. As a key member of the HR/Finance team, you will ensure accurate and timely payroll processing while maintaining compliance with federal, state, and local regulations, managing payroll records, and handling employee inquiries. What You’ll Be Doing (Must be able to be performed with or without reasonable accommodation) Payroll Processing: Administer the end-to-end payroll process for a multi-location, multi-state organization using ADP Workforce Now. Process weekly payroll for salaried, hourly, and commission-based employees, ensuring all employees are paid accurately and on time. Review timesheets, commission reports, overtime, and other pay-related items to ensure accuracy. Verify and ensure all payroll data is updated correctly, including new hires, terminations, benefits, deductions, leave accruals, and commissions. Reconcile commission reports and ensure compliance with company policies and applicable tax regulations. Multi-State Payroll Management: Manage payroll for employees in multiple states, ensuring compliance with varying state and local payroll tax laws, deductions, and filings. Stay informed of changing state and local tax laws and regulations, ensuring all tax filings are completed accurately and on time for each jurisdiction. Ensure proper tax withholding for multi-state employees and maintain accurate records of tax filings and payments. ADP Workforce Now Management: Utilize ADP Workforce Now to run payroll reports, manage tax filings, track paid time off (PTO), and generate year-end tax forms (W-2, etc.). Troubleshoot and resolve payroll issues within ADP Workforce Now, ensuring minimal disruption to payroll operations. Payroll Reporting & Reconciliation: Prepare and submit payroll-related reports to management, including labor distribution reports, tax filings, and benefits reconciliations. Ensure accuracy of payroll-related journal entries and reconcile payroll accounts. Collaborate with accounting and finance teams to ensure proper payroll cost allocation. Compliance & Tax Filing: Stay up-to-date with federal, state, and local payroll laws and regulations, ensuring the company’s payroll practices are in compliance. Ensure proper tax filings for federal, state, and local jurisdictions, including wage garnishments, tax levies, and other deductions Employee Inquiries: Respond to employee payroll inquiries regarding pay discrepancies, commissions, deductions, PTO balances, and general payroll-related questions. Provide excellent customer service by maintaining open communication and resolving payroll issues in a timely manner. Continuous Improvement: Recommend and implement process improvements for payroll efficiency and accuracy. Assist with special payroll projects as needed, including system upgrades, audits, and year-end processes. What We’re Looking For Associate’s Degree in Accounting, Finance, Business Administration, or related field preferred. Minimum of 5+ years of payroll experience, with a strong background in payroll processing for a mid-to-large-sized organization. Extensive experience with ADP Workforce Now platform is strongly preferred. Proven experience in handling payroll for multiple states and jurisdictions. Advanced proficiency in Microsoft Excel (pivot tables, vlookups, advanced formulas, and data analysis). Strong knowledge of payroll-related tax laws, deductions, and compliance regulations. Ability to maintain confidentiality and handle sensitive payroll data. Excellent attention to detail and accuracy. Strong analytical and problem-solving skills. Effective communication skills, both written and verbal.
