The Payroll Specialist is responsible for payroll processing and works in collaboration with the ADP team and operations to ensure accurate and timely payment for employees. This role supports designated pay groups, ensures compliance with applicable laws and regulations, and delivers excellent service across the organization. This hybrid role requires three days in the office and two days remote.
Key Responsibilities
Manage on-cycle, multistate payroll for assigned pay groups.
Process payroll on a weekly and biweekly basis according to schedule.
Conduct payroll pre-audits using ADP Vantage reports.
Follow established processes to handle payroll processing for assigned pay groups, including handling corrections using approved tools or historical edits.
Handle historical corrections for overpayments or missing hours.
Process stop payments and direct deposit reversals.
Calculate retroactive pay when rate changes are not effective as of the start of the pay period.
Collaborate with HR Ops to ensure Wisely Pay Card enrollments are processed and funded appropriately.
Maintain accurate records to support audits, reporting requirements, and management reviews.
Respond to payroll, deduction, and related inquiries from managers and above-store leaders.
Investigate and resolve payroll discrepancies and errors promptly.
Provide excellent customer service to all employees.
Support the operations team with inquiries about the Earned Wage Access System.
Organize and manage the payroll email inbox for assigned pay groups by Week End (WE) or Pay Period End (PPE) date.
Ensure payroll data is secure and confidential at all times.
Assist the Payroll Director with department projects such as escheatment, BLS multi-worksite reporting, payroll reporting, and audits.
Perform additional responsibilities as needed.
Qualifications
Bachelor’s degree in Business Administration, Accounting, Finance, or related field preferred.
Proven experience in payroll processing and administration.
Strong knowledge of payroll software and systems.
Proficiency in Microsoft Office, particularly Excel.
Excellent attention to detail and accuracy.
Strong analytical and problem-solving skills.
Excellent communication and interpersonal skills.
Ability to work independently and collaboratively.
Ability to maintain confidentiality and discretion.
Strong organizational and time management abilities.
