Colorado School of Mines welcomes applications for a Department Manager in the Department of Electrical Engineering. This role is the principal administrative staff for the department. This in-person role provides management level operational oversight and direction in support of the mission of the Colorado School of Mines. Reporting to the Department Head (DH) of Electrical Engineering, the Department Manager works with the Department Head independently and in collaboration on planning, coordinating, implementing, and assessing strategic objectives to achieve the mission and vision of the Department of Electrical Engineering. The Department Manager is responsible for department administration and leadership, facilities and space management, fiscal management and budget oversight, personnel, human resources, and contracts, student and program management, reporting and strategic analysis, and foundation, communications & external relations. Primary responsibilities and qualifications reflect a substantial scope of administrative leadership and support for department operations, budgeting, personnel processes, student program management, reporting, and external relations. Responsibilities
Department Administration & Leadership (45%)
Provide leadership, oversight, coordination and execution of department operations and administrative functions. Collaborate with the Department Head on strategic planning and operational oversight. Provide departmental management and executive administration to the Department Head. Serve as the point of contact for faculty on university and departmental policies, procedures, personnel processes (e.g., hiring, promotion, tenure, annual reviews). Supervise and manage departmental administrative staff.
Facilities and Space Management (5%)
Oversee all departmental facilities and space utilization, including infrastructure needs, maintenance work orders, and upkeep of laboratories, offices, classrooms, and conference rooms. Oversee access control and space assignments; manage related procedures.
Fiscal Management & Budget Oversight (15%)
Manage departmental funds across multiple funding sources in coordination with the Department Head. Analyze budget histories to support multi-year planning. Develop, monitor, forecast, analyze, and report on departmental budgets; track and reallocate expenses; handle journal entries and payroll reallocations. Provide recommendations on the allocation of departmental funds in consultation with the DH; prepare and submit budget requests and reports for future years. Maintain knowledge of relevant policies and guidelines for fiscal management.
Personnel, Human Resources & Contracts (10%)
Manage departmental personnel processes in partnership with Mines Human Resources and related offices. Partner with HR for hiring/onboarding (including adjuncts, postdocs, visiting scholars); coordinate faculty searches and onboarding. Manage faculty contracts and payroll requests; liaise with HR and central units (e.g., International/Legal) for compliance. Oversee all student hiring and timesheets.
Student and Program Management (10%)
Provide administrative oversight for undergraduate and graduate programs. Maintain knowledge of program requirements, policies, and procedures. Support scheduling and course registration; process registration actions, classroom requests, and waitlists. Oversee distribution lists, Canvas pages, and student communications; support curriculum submissions and committee work. Serve as liaison with Graduate Studies, Registrar, CASA, and student support offices; organize prospective student visits and Graduate Visit Days.
Reporting & Strategic Analysis (10%)
Support preparation of departmental reports and accreditation documentation; oversee ABET tasks and annual summaries. Plan and support External Visiting Committee logistics and report preparation; use metrics systems to collect and analyze data for decision-making. Assist the Department Head in long-range planning, resource prioritization, and departmental assessments.
Foundation, Communications & External Relations (5%)
Manage engagement with alumni, donors, and external stakeholders with Mines Foundation and campus partners. Coordinate alumni and student surveys, industry partnerships, and department communications; oversee department materials and website updates.
Additional Responsibilities
Perform additional tasks as assigned in support of department mission and Mines objectives.
Qualifications
Bachelor degree in Business Administration or related field (education can be substituted with specialized experience in higher education). 2 years of progressive administration experience related to project and program management and operational oversight. 2 years of experience with developing, monitoring and managing budgets and financial reporting. Evidence of teamwork, relationship building, and partnership development; demonstrated leadership and problem-solving skills. Strong expertise in business and management software and databases; ability to stay abreast of higher education trends. Ability to communicate effectively with faculty, staff and students. Professional, objective, and sensitive approach to the needs of faculty, staff, and students. Preferred Qualifications
5 years in a management position with supervisory experience. Significant experience with Banner, Workday or other ERP systems. Experience in higher education. Supplemental Information
