Overview
The Finance Coordinator (SAIL Office) provides administrative support to the SAIL Office staff, including the Director, Associate Directors, Assistant Director, RSO Coordinator, and FSL Coordinator. The position aids the Director and Associate Director with reports, data compilation, and transactional activities such as reimbursements, purchase requisitions, contract submissions, invoice review, and payment approvals. The Finance Coordinator serves as co-advisor to the Student Organizations Finance Committee and oversees RSOs by providing decisions regarding student travel and enforcing procedural processes. The role also manages general office administration and may require occasional night and/or weekend work to support campus-wide programs (e.g., Homecoming, E-Days). Responsibilities
Coordinate student travel, review travel budgets, and enforce Mines’ travel policies; determine appropriateness of travel arrangements and alternate itineraries as needed Collect documentation to create travel approvals and reports Ensure Clery Act form submission compliance Meet with student leaders and advisors to explain travel policy and regulations Provide administrative oversight for the OreConnect platform used to manage clubs, forms, and budgeting Manage CashNet procedures, develop pages, collaborate with partner offices to build sites, test, and administer; update CashNet pages for student groups Advise and support the Student Organization Finance Committee (SOFC) Oversee venue and SAIL ticketing pages and account management Review purchase requests from student groups and communicate with partner departments Enforce financial policy and procedure guidelines for RSOs and SAIL Extract data, generate reports, and submit reports to accounting for tax liability assessment Reconcile deposits with RSOs budgets; process daily deposits for student organizations and the SAIL office Supervise student staff with financial responsibilities; approve timesheets and contracts Support technology functions within SAIL (digital signage, website, Banner software) Handle branded merchandise orders for RSOs and SAIL in alignment with campus branding policy Support RSO activities with the RSO Coordinator and Associate Director of Finance & Operations Assist with SAIL Front Desk oversight Additional Responsibilities
Support SAIL staff with financial and administrative duties Departmental event scheduling and support Performs other duties as assigned Minimum Qualifications
Bachelor's Degree in a relevant discipline or equivalent combination of education and experience 3-5 years of progressive experience in a higher education setting; understanding of student services Knowledge, Skills, And Abilities
Strong knowledge of financial policy to grant or deny requests Ability to relate to individuals and groups with diverse backgrounds Proficient computer skills with relational database systems Advanced knowledge of MS Office Suite Strong organizational, communication, and interpersonal skills Experience providing high levels of customer service and managing escalations Ability to de-escalate challenging situations Multitasking with attention to detail; capable of flexible scheduling Preferred Qualifications
Bookkeeping or accounting experience Knowledge of diversity and equity principles Experience creating reports and infographics Proficiency with Workday, Transact/Cashnet, Campus Groups, and Acrobat; strong record-keeping Salary And Benefits
Salary range: $58,485 – $60,102.
