Overview
Sr. Legal Assistant role at Mt. Hood Community College. Provide administrative support to the Senior Vice President & General Counsel and the legal department. This position interacts with personnel throughout the legal department and the company, and the individual must effectively communicate with all levels of the organization. Responsibilities
Provide administrative support within the legal department under limited supervision. Arrange and schedule business meetings and travel arrangements and itineraries; prepare and process expense reports. Provide limited administrative support to certain senior executives of the Company. Manage sensitive and confidential information with care and discretion. Answer phones, coordinate meetings, receive visitors, arrange conference calls, prepare correspondence, file documents and perform similar clerical tasks. Administer the Agiloft contract management system, including entering new contracts and populating information in the system; manage system updates and changes; access documents and information as needed; respond to business requests for contracts or information from the system; provide training as needed for Company users of the system and serve as a resource and clearing center for those with questions about or needing help with the system. Work with internal IT staff and external IT consultants on system upgrades, improvements and corrections as needed. Manage the process of invoice payments following attorney approvals. Create, format, revise and edit legal documents, correspondence, minutes, presentations, and spreadsheets. Use and administer DocuSign including the training and addition of new users; learn and use other Company systems. Provide executive level management administrative support by conducting research, handling information requests, and performing clerical functions. Learn basics of SAP as it applies to the legal department’s purchase of goods and non-legal services. Notarize documents requiring notarization. Manage distribution of various documents (such as wage garnishments, subpoenas, automobile notices, etc.) to appropriate recipients in the Company. Education And Experience
Requires a minimum of an Associate’s degree. Previous experience in a law firm or corporate law department required. Massachusetts notary (or willingness to become one once hired). Experience with Contract Management systems strongly preferred. Skills And Competencies
Personable and able to work well with all levels of internal management and staff, as well as outside clients and vendors. Strong written and verbal communication skills. Able to read and interpret written information. Excellent organizational skills. Accurate and thorough in performing work, especially written work. Ability to effectively prioritize activities and use time efficiently. Prioritize and manage multiple projects simultaneously. Strong proficiency with Microsoft Office suite. Equal Opportunity
