Associate AP & AR Coordinator/Accounts Payable & Receivable Coordinator/Senior AP & AR Coordinator Job Summary

Associate, AP & AR Coordinator, or Senior AP & AR Coordinator plays a crucial role in managing financial transactions for El Paso County. In this position, you’ll be responsible for processing invoices and p‑card payments for various entities. Your attention to detail and expertise in accounting methods will be essential in maintaining accurate records. Strong communication, organization skills, and proficiency with Microsoft Office are required.

Work Schedule

Monday – Friday, 8:00 am – 5:00 pm (subject to change). Under FLSA guidelines, this position is non‑exempt.

Essential Duties / Responsibilities

Perform routine accounts payable or receivable duties based on assignment.

Enter data into County and State financial systems, ensuring accuracy.

Identify payment types, credit proper accounts, update systems, and generate receipts as needed. Prepare deposits according to established procedures.

Contact clients and review documentation for proper payments.

Assume fee assessment for families receiving Health & Human Services assistance; monitor accounts for payments, determine new eligibility, monitor placements and court orders.

Coordinate with departments and prepare documents for purchasing materials, labor, and services, ensuring accuracy of purchase orders and budget assignments.

Process invoices for payment, review and reconcile encumbrances and expenditures, and reconcile vendor and P‑card statements.

Conduct research in financial systems and reconcile accounts as needed.

Provide financial reports according to departmental needs and assist as needed with other areas to meet processing deadlines.

Process 1099 tax code information for vendor accounting and provide administrative support as required.

Qualifications

Knowledge, Skills & Abilities

Basic knowledge of accounting methods, forms, and techniques; ability to understand accounting records and procedures and apply proper accounting procedures.

Working knowledge of Microsoft Office, specifically Word, Excel, and Outlook.

Maintain confidentiality and communicate effectively with co‑workers, other county personnel, other agencies, and the public. Provide excellent customer service.

Efficiently plan, schedule, and organize; make prudent decisions; apply conflict resolution and problem‑solving skills.

Maintain regular and punctual attendance.

Required Education & Experience

High school diploma or equivalent education.

One year of related accounts payable or accounts receivable experience for Accounts Payable & Receivable Coordinator; two years for Senior Accounts Payable & Receivable Coordinator.

Associate’s degree in a related field may substitute for one year of required experience; Bachelor’s degree may substitute for required experience.

Preferred Education & Experience

Associate’s degree in business, accounting, or related field.

Accounts payable or accounts receivable experience in a government setting.

Pre‑Employment Requirements

Must pass conditional post‑offer background investigation and drug screen.

Work Conditions

Duties are primarily performed in an office and remote work environment dependent upon Department discretion and business needs.
