Job Summary
Our client is seeking an organized, proactive, and personable Assistant Office Manager to help oversee daily clinic operations and support the administrative team. This role is ideal for someone with strong interpersonal and communication skills who can build positive relationships with patients, staff, and medical partners. The Assistant Office Manager will play a key role in managing office workflow, assisting with HR functions, coordinating payroll, and ensuring smooth handling of referrals and authorizations.
Job Responsibilities:
- Support the Office Manager in overseeing front desk operations and administrative workflows.
- Assist with HR functions, including onboarding, maintaining employee records, and helping with payroll processing.
- Manage and track referrals and authorizations to ensure timely scheduling and communication with medical teams.
- Communicate professionally with patients, providers, and insurance companies to facilitate care coordination.
- Maintain accurate records, ensuring compliance with clinic and healthcare regulations.
- Provide support in scheduling, patient intake, and billing coordination as needed.
- Help foster a positive, patient-centered environment by promoting teamwork and exceptional service.
- Identify process improvements and assist in implementing operational efficiencies.
Qualifications:
Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field preferred.
2+ years of experience in medical office administration, with exposure to HR and payroll support.
Strong understanding of healthcare referrals, authorizations, and insurance verification.
Excellent communication and relationship-building skills with patients and medical staff.
Proficient in EMR systems, scheduling, and Microsoft Office Suite.
Ability to multitask and stay organized in a fast-paced clinic environment.
Positive, team-oriented attitude with strong problem-solving abilities.
