The Office & Administrative Specialist, Sr. (OAS,Sr.) provides high-level administrative and secretarial support to Business Development and Community Development staff, ensuring efficient office operations and seamless coordination of activities.

This position will prepare and manage documents, correspondence, and reports; coordinate travel and meeting logistics; schedule appointments; and support staff in executing day-to-day administrative functions. The position will enable staff to focus on strategic initiatives by delivering timely, accurate, and professional administrative support.

This position is located in Eveleth, MN. Occasional travel may be required.

Minimum Qualifications

Advanced skill in using business English grammar, spelling, and punctuation sufficient to compose clear, effective written materials with minimal direction.

Word processing skills sufficient to use software to create, format, edit, and print a variety of documents, correspondence, forms, tables, and reports.

Good communication skills sufficient to provide tactful, prompt, courteous, and accurate benefit information to stakeholders on the phone, in-person, e-mail, or written correspondence.

Human relation skills to establish and sustain effective working relationships with other employees, stakeholders, and the public is essential.

Strong organizational and planning skills in order to manage projects, identify priorities, and meet timelines with little supervision.

Database management skills sufficient to use technology and business software, such as Microsoft Office Suite, SharePoint, multi-line phones, video conferencing, MS Teams, Zoom and WebEx.

Ability to maintain security of confidential and private information.

Math skills sufficient to maintain complete and accurate financial records, balance, and resolve discrepancies.

Experience working with a diverse clientele including the commitment to equity and inclusion in the work environment.

Valid MN Driver's License.

Preferred Qualifications

Previous experience providing high-level administrative support.

Knowledge of loan procedures and formats, along with grantmaking policies, procedures and grant management skills.

Experience working with the State of Minnesota.

Knowledge of DIRRR and the ability to accurately interpret and communicate the policies and statutes governing the agency.

Ability to transport oneself to external meetings or obligations.
