Business Process Optimization Manager - Boston Area DESCRIPTION: As a Business Process Optimization Manager, you will drive the analysis, design, and implementation of a fully optimized Quote-to-Cash (Q2C) process for Customer Service and Parts operations. Your responsibilities will span across business process transformation, stakeholder alignment, systems optimization, and change management. RESPONSIBILITIES: Lead the end-to-end assessment and redesign of the Quote-to-Cash process to improve efficiency, reduce manual effort, and accelerate revenue recognition. Design and implement standardized, scalable workflows across all Q2C stages, including:
CRM onboarding and lead-to-opportunity conversion (Salesforce) Quote configuration and approval workflows Sales order creation, validation, and processing Supply chain coordination and parts fulfillment Billing, invoicing, and credit memo processing Revenue recognition alignment with finance policies
Conduct time-motion studies, data analysis, and stakeholder interviews to identify bottlenecks and inefficiencies. Facilitate workshops and interviews with key functional leaders across Sales, Customer Service, Supply Chain, Finance, and IT to define requirements and pain points. Challenge legacy thinking and "we’ve always done it this way" mindsets with tact and business rationale, driving alignment toward standardized practices. Act as a trusted advisor to senior leadership on best practices and improvement opportunities. Drive consensus and adoption of new processes across globally dispersed teams. Ensure redesigned business processes align with and fully leverage Epicor ERP standard (out-of-the-box) functionality, minimizing unnecessary customizations. Collaborate with IT and ERP administrators to configure and test new workflows within Epicor. Validate upstream/downstream system impacts of proposed changes, ensuring data integrity and process continuity. Provide input into Salesforce-Epicor integration points and data mapping as needed. Create detailed documentation of current-state and future-state processes using tools like Visio, Lucidchart, or equivalent. Develop SOPs, process maps, and job aids for end-users and department leads. Deliver training materials or sessions to facilitate adoption of the new workflows. Assist with the development of KPIs and dashboards to monitor performance post-implementation. Identify opportunities for automation within the Q2C process, including quote approvals, order routing, billing triggers, and reporting workflows. Recommend and prototype dashboards or reporting solutions that improve visibility into order status, fulfillment performance, and revenue recognition cycles. Collaborate with IT or data teams to implement automation tools or enhance system reporting capabilities. Establish baseline metrics and define success criteria for implemented solutions. Track process performance post-implementation and lead root-cause analysis on any issues or gaps. Recommend continuous improvements and future phases of process or system enhancement. Develop a comprehensive project plan with timelines, milestones, and resource requirements. Maintain detailed status updates and risk registers, escalating issues as needed. Lead regular check-ins and steering committee updates to communicate progress and solicit feedback. Ensure timely delivery of all project phases within agreed-upon scope and budget. BACKGROUND PROFILE: Proven experience as a Project Manager or Business Process Consultant, focused on operational optimization. Deep understanding of Quote-to-Cash business processes in a manufacturing or technical services environment. Hands-on experience with Salesforce CRM and Epicor ERP (strongly preferred). Demonstrated success in driving business process transformation, with measurable improvements in efficiency and revenue cycle time. Comfortable challenging “the way we’ve always done it” and promoting a culture of continuous improvement. Strong documentation skills with the ability to produce clear, standardized workflow diagrams and SOPs. Ability to recommend automation opportunities using tools, dashboards, or built-in ERP features. Strategic thinker with strong execution ability. Proven change agent who thrives in environments requiring transformation. Technically literate and process oriented. Collaborative mindset with excellent cross-functional communication skills.
