Our Organization and Mission The Florida Division of Alcoholic Beverages and Tobacco licenses the manufacture, distribution, sale, and service of alcoholic beverage and tobacco products in Florida, including receipt and processing of license applications; collection and auditing of taxes and fees paid by licensees; and enforcement of the laws and regulation of the alcoholic beverage and tobacco industries, pursuant to Chapters 210, 561-565, 567-569, Florida Statutes. The division's three bureaus – Licensing, Auditing and Enforcement – comprise a team of approximately 325 personnel fulfilling the regulatory obligations of the division throughout the state.
Work You Will Do This position is highly responsible within the Bureau of Law Enforcement. The role primarily handles routine administrative duties of an administrative assistant while supporting law enforcement officers as a processor of criminal and administrative cases, and digitally uploading license applications. The Bureau’s cases and license processing have statutory timelines, requiring organization and triage of assignments for success.
Your Specific Responsibilities
Conduct daily administrative functions including: copying, faxing, organizing, and maintaining records.
Perform independent decision‑making and plan administrative priorities.
Prepare reports and correspondence using Microsoft Word & Excel.
Process and distribute all mail.
Receive and assist members of the public in person, by telephone, and e‑mail; respond to questions and receive payment of fees.
Record accurate license complaints and track and prepare cases to ensure timely disposition.
Knowledge, Skills, and Abilities
Knowledge of administrative principles and practices.
Knowledge of office procedures and practices.
Knowledge of methods of data collection.
Knowledge of principles and techniques of effective communication.
Ability to collect, evaluate and analyze data related to administrative functions such as accounting, personnel, purchasing, or report writing.
Prepare correspondence and administrative reports.
Understand and apply applicable rules, regulations, policies, and procedures.
Utilize problem‑solving techniques.
Work independently.
Plan, organize and coordinate work assignments.
Establish and maintain effective working relationships with others.
Two (2) years of clerical, secretarial, or administrative experience required.
One year of experience with Microsoft Word required.
One year of experience with Microsoft Excel required.
Preferred
Preference for candidates with experience working in a law enforcement agency or confidential environment.
Preference for candidates with an associate degree or higher.
Preference for bilingual applicants.
