We’re seeking a personable, motivated Inside Sales & Customer Relations Specialist to join our growing operations team. This role combines customer service excellence with light technical sales responsibilities. You will respond to client inquiries, prepare quotations, track orders, and coordinate closely with our international operations team to ensure a smooth and professional customer experience. Ideal candidates will demonstrate exceptional communication skills, attention to detail, and a natural ability to build rapport—qualities often found in hospitality or service-industry professionals. Prior sales experience is not mandatory; we’re looking for individuals who enjoy helping others, learn quickly, and thrive in a fast-paced B2B environment. Candidates should be authorized to work in the U.S. and familiar with local business practices. Because this role supports customers across U.S. time zones, earlier working hours may occasionally be required to accommodate East Coast clients. What you’ll do

Serve as the primary contact for client communications—from product inquiries to order tracking. Build and maintain strong relationships with customers while ensuring a professional and responsive experience. Prepare and manage quotes and order confirmations, ensuring all technical and pricing details are accurate. Proactively recommend suitable materials or alternative options to meet customer requirements. Technical & Operations Coordination

Review and share technical documentation such as datasheets, Certificates of Analysis (COAs), and Safety Data Sheets (SDS) with clients. Collaborate with internal teams (Sales, QA, Production, Logistics) and the China operations team to coordinate order fulfillment. Track shipments and proactively update customers on timelines or potential delays. Support the resolution of product or delivery issues by coordinating with internal teams. Data, Process, and Reporting

Maintain accurate records in CRM, ERP, and other systems for quotes, invoices, and shipments. Analyze customer feedback and order data to identify areas for improvement. Assist in developing and optimizing internal workflows to improve efficiency and client satisfaction. Qualifications

Bachelor’s degree in Materials Science, Chemistry, Chemical Engineering, or a related technical field. 2–4 years of experience in customer service, inside sales, or operations within the materials, industrial, or manufacturing sectors. Familiarity with engineering drawings, material specifications, and basic lab terminology. Excellent written and verbal communication skills; bilingual English/Mandarin is strongly preferred. Proficiency with Microsoft Office, Google Suite, and CRM/ERP systems. Strong organizational skills with the ability to manage multiple priorities and deadlines. Why you’ll love working at Oceania
