The Registrar Department is seeking an

Administrative Specialist, Academic

to join the team and support the next level of excellence. We are a knowledge-sharing organization that values collaboration with diverse partners and provides opportunities for professional development and mentorship. This role supports the Senior Scheduler and focuses on academic scheduling across six campuses.

Responsibilities

Manage the daily operations and workflow of academic scheduling processes.

Review and submit routine clock exception requests for approval.

Oversee and coordinate the production of the academic course schedule each semester by deadlines.

Collaborate with academic colleges to produce each schedule.

Create and post final exam schedules each semester; create and submit off-clock final exam schedules to colleges.

Provide conflict resolutions for final and common exams.

Respond to daily inquiries via telephone, email, or in-person; process non-routine academic reservation requests.

Serve as liaison between the Office of Course Scheduling and faculty, staff, students, and academic colleges across six campuses.

Provide timely resolution of complaints regarding classrooms, scheduling, and inquiries.

Resolve classroom issues during emergencies (e.g., floods, fires, equipment outages).

Develop, maintain, and update written training documentation for the academic scheduling process.

Create standard email responses for routine requests and inquiries.

Attend monthly scheduler meetings as required; collaborate with the Assistant Registrar on new projects or initiatives.

Assist Senior Scheduler with event processing during peak times.

Qualifications Minimum Hiring Qualifications:

Bachelor's degree and four years of administrative experience; or a high school diploma or GED and eight years of administrative experience; or a combination of education and related experience.

Preferred Hiring Qualifications:

Preference will be given to candidates with knowledge of classroom scheduling.

Must have a working knowledge of integrated student record data systems, such as Banner and Banner Workflow.

Must have a collaborative, energetic and resourceful work style.

Excellent organizational and interpersonal skills.
