Senior Clinical Staff Specialist

Job Summary
Reporting to the Associate Clinical Director, the Clinical Staff Specialist in the Health Center performs clinical and administrative duties to support student access to health services on and off campus. The position requires a high degree of situational awareness, the ability to work independently, and the flexibility to step into wellness staff assistant (front desk) roles when needed.
Job Responsibilities
Patient Care Services & Clinical Staff Support
Clinical Provider Schedules as delegated by the Administrative Supervisor:
Create Master Templates
Manage, review and adjust daily appointment schedules; use independent judgement to address conflicts and make corrections as needed
Respond to time‑off requests from providers to ensure reflected in the EMR and appropriate adjustments are made to ensure student access
Insurance information collection and utilization
Responsible for implementation of scanning/indexing quality assurance processes
Generate special reports/queries from EMR or other sources as requested
Prior authorization
Using information from clinical providers, pursue insurance authorization for medications, imaging and specialist referrals as required.
Clinical referral process
Use the referral workplace to ensure critical consultations occur and communication is up to date.
Exercise a degree of initiative to get appointments scheduled in an acceptable amount of time
As delegated by the Administrative Supervisor, ensure appropriate follow‑up occurs with students for missed appointments and referrals
Oversee and delegate as appropriate the distribution of key information related to stat and routine lab reports, radiology reports, and hospital/private provider office information.
Department Leadership Administrative Support
Support monthly Inventory process
Order clinical supplies
Verify Quest Lab inquiries; follow up with ordering providers when necessary
Prepare monthly Procurement Card Statements
Track credentialing of clinical staff following NYS and AAAHC guidelines
Coordinate AAAHC
Complete survey application every three years
Maintain policies and procedures as delegated by Associate Director for Clinical Services
Other duties as identified by clinical leadership, such as calendaring or meeting requests.
Administrative support to the front desk
Maintain competency in check‑in and check‑out procedures
Situational awareness of the administrative function of the Wellness Staff Assistant Roles and takes independent action to assist when needed.

Required Qualifications
Education: Bachelor’s degree or equivalent experience
Experience: 2 years related experience working in a medical office setting
Skills
Effective interpersonal, written, and electronic communications skills, including the ability to convey complex information in accessible terms to diverse or multicultural audiences
Knowledge of Deaf culture, American Sign Language (ASL), or willingness to learn
Ability to establish, build and maintain effective working relationships based on respect, empathy and honesty with diverse groups and individuals and to promote a positive work environment
Ability to manage and maintain confidential and private information; uses confidential, sensitive and/or private records and information, protects information appropriately
Computer competence using software and enterprise systems appropriate for the complexities of the role and its functions
Knowledge of electronic health records
Microsoft Office fluency
Preferred Qualifications
Experience with NYS Immunization law
Experience with referrals and prior authorizations
Medical terminology
Excel Fluency
