About the Role:
As a
Client Intake Specialist , you’ll be on the front lines of our mission. You’ll be the first person many of our clients speak with after life-altering injuries—so empathy, patience, and confidence are key. You’ll guide them through the early stages of their case and make sure our legal team has the documents they need to fight for full and fair compensation. You’re not just answering phones—you’re helping people feel heard, seen, and supported. You’re not just requesting documents—you’re helping us build powerful cases against systems designed to deny and delay justice. Key Responsibilities:
Client Intake (70%) Answer inbound calls, emails, and web inquiries with empathy and professionalism Conduct intake interviews using scripts and forms to determine case eligibility Clearly explain our firm’s process, set expectations, and build client trust Schedule follow-ups for the legal team and ensure prompt responses to leads Collaborate with attorneys and paralegals to sign clients, open cases, and transfer cases for next steps Update our CRM with lead status and notes Client Documentation and Information Support (30%) Assist the legal staff in opening new cases after clients have signed with the firm Learn to use our firms case management software to open cases and enter client information Request and collect personal information, insurance cards, ID copies, and other documentation from new and existing clients Explain to clients why certain pieces of information are needed and assist them with completing forms or submitting data. Follow up consistently while maintaining a respectful, patient tone Track all correspondence and documentation in the firm’s case management system Flag missing information and assist the legal team in closing information gaps Qualifications:
Prior experience in customer service, sales, or intake (law firm or medical office experience a plus but not required) Ability to communicate with compassion and clarity during sensitive conversations Highly organized with strong attention to detail Comfortable using technology, including CRM or case management systems (Experience with FileVine and/or HubSpot is preferred) Ability to work independently and efficiently in a fast-paced environment. Bilingual (Spanish/English) is a plus but not required What We’re Looking For:
