Administrative Assistant – Craig Technologies

Location: KSC, FL – Full‑time – Entry level – Administrative function – NASA Mission: Mobile Launcher 2 Project

Base Pay Range

$40,000.00/yr – $60,000.00/yr

Job Summary

In this role, you will perform administrative duties that require proficiency, accuracy, judgement, initiative, discretion, and knowledge of protocol. You will handle both routine and complicated items, such as coordinating travel, preparing expense reports, and composing correspondence. Your ability to anticipate problems and changing priorities will help bring efficiency and organization to your team.

Major Responsibilities

  • Perform routine to complicated administrative duties under minimal supervision.
  • Coordinate meetings, arrange conference rooms, equipment, and refreshments.
  • Organize material for meetings, presentations, and training sessions; maintain version control on shared drives.
  • Maintain professional appearance of conference rooms and replenish supplies.
  • Coordinate service awards luncheons and dinners.
  • Operate audiovisual equipment for presentations and conferences.
  • Maintain and update distribution lists for email distribution.
  • Demonstrate basic to intermediate proficiency in Microsoft Excel, Word, Outlook, and PowerPoint.
  • Assist in coordinating internal and external meetings, maintain calendar for manager using Outlook.
  • Compile and distribute conference notes and meeting minutes.
  • Assist with ML2 Construction Badging for visitors and new hires; assist with Area Access Requests.
  • Maintain departmental forms, databases, and tracking tools; order supplies for designated areas.
  • Provide time‑card input or proxy for the project manager and/or team when required.
  • Prepare and proofread standard forms, correspondence, and reports; assemble, copy, and distribute documentation packages.
  • Coordinate project seating requirements and work closely with IS&T to assure computer and drive access.
  • Anticipate and alert manager to changing priorities or problems.
  • Coordinate travel arrangements, itineraries, expense reports using Concur or other systems.
  • Prepare detailed expense reports.
  • Handle additional administrative tasks as needed.

Education & Experience Requirements

Requires 2–4 years of related experience.

Required Knowledge, Skills, and Abilities

  • Positive attitude and effective work with all internal and external customers.
  • Extensive experience in administrative and secretarial functions.
  • Ability to coordinate manager‑level meetings and adhere to project protocol.
  • Proactive, organized, uses initiative, follows through until completion.
  • Multitasks while maintaining attention to detail and accuracy.
  • Works effectively in a fast‑paced, high‑energy environment.
  • Flexibility to take on unexpected assignments.
  • Professionalism and ability to interact at all organization levels.
  • Independent anticipation of problems and changing priorities.
  • Willingness to work overtime with little or no notice.
  • Experience arranging travel and processing expense reports using an electronic system.
  • Ability to compile, analyze, and report on complex data.
