Summary:

The Grants Senior Specialist supports the Corporate Engagement department's efforts around securing and maintaining corporate financial contributions. The role manages grant research, proposal writing, submissions, and reporting related to healthcare company donors, and helps ensure the Corporate Engagement team operates efficiently and effectively in this space.

This is a collaborative, detail-oriented role requiring strong writing, research, and organizational skills. The ideal candidate is motivated by process and systems, enjoys cross-team collaboration, and brings a mix of strategic thinking and hands-on execution. The role will also support the department's operations and administrative work.

Principal Duties and Responsibilities: Grants and Proposal Management

Draft and submit letters of inquiry, proposals, applications, budgets, and reports for corporate and foundation funders. Research new grant opportunities and funding trends aligned with Direct Relief's work. Maintain a calendar of deadlines and deliverables for submissions and reporting. Coordinate with Legal, Finance, and Programs teams to compile data, narratives, and documentation for grant proposals. Track internal workflows for active and upcoming grants. Maintain accurate records in Raiser's Edge or other CRM systems, including funder details, requirements, and submissions. Develop and manage grant resource libraries (templates, case language, compliance materials). Support grant compliance by ensuring deliverables and formats align with funder expectations. Provide occasional relationship support through scheduling or prep for funder communications, meetings, or events.

Resource and Content Management

Maintain CE team materials such as presentations, one-pagers, and case statements. Maintain DR materials such as operating budgets, leadership and Board lists and bios, financial documents, etc. Assist with developing tailored presentation decks and visual collateral for external audiences. Submit blog posts or guest content to highlight campaign work, where relevant.

Support for Workplace and Employee Giving

Provide research and administrative support for employee giving platforms and workplace fundraising programs. Ensure Direct Relief is accurately represented across platforms (e.g., Benevity, Global Impact, GoFundMe, GlobalGiving, Percent Pledge) by maintaining brand pages and updating campaign content. Coordinate with platform managers to address technical issues and ensure accurate listings. Support internal reporting and data tracking for workplace campaigns.

Donor and Account Operations

Help manage the corporate donations inbox, assigning inquiries for timely follow-up. Organize and distribute donation receipts and acknowledgment letters to CE account leads. Provide operations support to team members across healthcare and non-healthcare accounts, including grant prep, marketing campaigns, and events.

Research and Stewardship

Build and maintain profiles of healthcare companies and their giving priorities. Track philanthropic trends and corporate ESG strategies to inform outreach / engagement. Assist in developing donor stewardship materials, including impact updates and campaign recaps. Help prepare briefings for leadership and account managers. Ensure key donor activity is captured and tracked in CRM.

CRM and Data Management

Maintain and update records in Salesforce or equivalent CRM, ensuring accurate contact info, tagging, documentation, and gift designations. Audit gifts and opportunities to ensure accuracy and completeness. Compile uniform contact lists and assist with CRM imports or clean-up projects. Serve as team lead for data pulls and internal fundraising reports. Manage collection of audit-ready documentation for compliance.

Internal Coordination and Administration

Support CE team operations through task tracking, shared documentation, and internal communications. Contribute to process improvements and cross-team coordination. Assist with scheduling, meeting prep, and special projects as needed.

Qualification, Knowledge, and Skills:

Bachelor's degree with 2-5 years of experience in grant writing, nonprofit operations, fundraising, or similar. Exceptional writing and editing skills, especially for grants and proposals. Strong organizational and project management skills. Proficiency in Microsoft Office Suite; experience with Raiser's Edge and Salesforce preferred. Familiarity with corporate giving and workplace fundraising platforms is a plus. Analytical and research capabilities to evaluate funding opportunities. Comfortable working independently and collaboratively across teams. Mission-driven, proactive, and detail-oriented.
