The Human Resources Manager provides day-to-day HR support to NeuroStim TMS, a growing mental health practice specializing in Transcranial Magnetic Stimulation (TMS) services. This role supports multiple clinic locations across Washington, Arizona, and Minnesota, with a scope that includes employee engagement, retention, overseeing the employee life cycle, and compliance. The ideal candidate is detail-oriented, people-focused, and comfortable balancing recruitment, employee relations, and HR administration in a fast-paced, mission-driven environment. Recruitment, Onboarding & Offboarding Partner with hiring managers to post open positions, screen applicants, and coordinate interviews for clinical and administrative roles as needed. Support a seamless onboarding experience, ensuring new hires are fully prepared for their first day with all necessary equipment, system access, and supplies. Conduct onboarding check-ins to support new hire engagement and retention. Coordinate offboarding activities, including exit interviews, final pay coordination, and collection of company property. Identify trends from exit data to support continuous improvement in retention strategies. Payroll & Timekeeping Coordination Coordinate the payroll process by reviewing timecards, verifying accuracy, and ensuring timely manager approvals. Partner with the payroll and finance teams to resolve discrepancies and confirm readiness for payroll submission. Maintain accurate employee status and compensation data in the HRIS to support accurate payroll processing. Maintain accurate employee bonus records and submit for payroll processing in accordance with the bonus earning terms. Employee Relations & Engagement Serve as a first point of contact for employee inquiries and escalate issues appropriately. Support the VP of Human Resources with employee relations investigations and documentation. Coordinate and assist with employee surveys, engagement initiatives, and recognition programs. Contribute to a positive and inclusive work culture by supporting employee communication and feedback loops. Retention & Workforce Development Develop and support retention initiatives focused on entry-level and clinical support employees. Track turnover and retention metrics and provide actionable insights to leadership. Participate in stay interviews and collaborate with leaders to address engagement concerns proactively. Compliance & HR Administration Maintain compliance with federal, state, and local employment laws across Washington, Arizona, and Minnesota. Maintain knowledge of state leave programs (e.g., Washington PFML, Arizona PSL, Minnesota ESST). Assist in policy administration, recordkeeping, and HR process documentation. Maintain confidentiality and ensure proper handling of sensitive employee data. Collaboration, Communication & Leadership Support Attend leadership meetings, take detailed meeting minutes, and distribute follow-up actions as needed. Conduct periodic clinic visits to build relationships with clinic staff, support managers, and stay informed about on-site needs. Partner with operations and other appropriate teams to ensure HR processes align with clinic workflows and employee needs. Participate in HR projects and initiatives that improve organizational effectiveness and employee satisfaction. Other duties as assigned. Requirements
Education & Experience
Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent experience). 3-5+ years of HR experience, preferably in healthcare or a multi-site environment. Experience supporting recruitment, employee relations, and retention programs. Working knowledge of employment laws and state leave requirements for Washington, Arizona, and Minnesota preferred. Skills & Competencies
Strong interpersonal and communication skills with the ability to build trust and credibility. Excellent organizational skills and attention to detail. Proficient in HRIS and applicant tracking systems; strong Microsoft Office skills. Ability to manage multiple priorities and work independently in a multi-site environment. Passion for supporting employees and enhancing the overall employee experience. Preferred Qualifications
PHR or SHRM-CP certification (or progress toward certification). Prior experience in a behavioral health or healthcare setting. Familiarity with multi-state HR operations. Travel Requirements
Monthly local travel to neighboring clinic locations. Occasional travel to other clinic sites in Washington, Arizona, or Minnesota as business needs arise.
