Overview

General Description: The Administration & Information Accounting Department provides fiscal services and guidance to any and all agencies while maintaining superior customer service, both within State Government and to outside vendors. This position applies fiscal guidance, accounting, and customer service for any vendor or employees for the assigned Department of Administration & Information divisions. Review vendor invoices for accuracy with regard to discounts, credits, payment address, tax, accounts, and correct payment totals in preparation for input into the Wyoming On Line Financial Systems (WOLFS) for each assigned A&I division.

Review contracts for assigned A&I divisions to ensure they comply with accounting and procurement policies. Input the necessary fiscal documents into WOLFS for payment or encumbrance using the correct budget coding for each assigned A&I division.

Input P-card budget coding into WOLFS using the correct budget coding for each assigned A&I division.

Resolve any fiscal problems with vendors; assist other staff members as needed.

Works with the Trades Management manager in monitoring all fiscal aspects of Capitol Complex Major Maintenance projects for A&I.

Works with managers of the Trades Management section in monitoring expenses and revenue collection of reimbursable trades projects.

Initiates IETs and provides documentation to external agencies for project reimbursement.

Obtain from the ID/Access Card Program Manager the needed information to prepare the monthly ID/Access Card Billings.

This includes auditing of the data, preparing form letters and invoices for each state agency that obtained ID/Access cards for the previous month.

Prepare monthly ID/Access Card Billings after obtaining required information from the ID/Access Card Program Manager.

Qualifications

Preferences:

Preference will be given to employees with state experience.

Knowledge:

Knowledge of budgets and cost controls.

Knowledge of financial statement preparation or the establishment of systems.

Strong skills in Microsoft Office, especially Excel.

Strong written and oral communication skills.

Knowledge of WOLFS.

Education & Experience

Minimum Qualifications:

Associate's Degree (typically in Finance)

Experience:

0-2 years of progressive work experience (typically in Finance) with knowledge at the level of an Accounting Clerk

Education & Experience Substitution:

2-4 years of progressive work experience (typically in Finance) with knowledge at the level of an Accounting Clerk

Typical office environment. May involve sitting, walking, standing, bending, and carrying light items.

This position is a full-time teleworking position. Applicant must have the ability to telework, with the flexibility to report to the office as necessary.
