Are you an experienced and dynamic leader with a passion for managing the administrative operations of a law firm? If so, you might be the perfect candidate for the Office Administrator position. As the Office Administrator, you will oversee the day-to-day functions of our Boston, Providence, and Portland offices. You will be working collaboratively with firm management, corporate departments, and local attorneys and staff. You will also have the opportunity to participate in regional and national projects and initiatives, and to contribute to the firm\'s growth and success. The pay range for this position is between $142-187k base + annual discretionary bonus. This position is eligible for 3 weeks of PTO (accrued at the rate of 4.61 hours per pay period), 13 paid holidays, paid parking, 401(k), and medical, dental, and vision insurance with multiple plan options. What will you do as an Office Administrator? Provide leadership and direction to the office staff employees, ensuring high-quality client service and compliance with firm policies and procedures. Manage the human resources activities of the office, including recruiting, hiring, orientation, training, performance evaluation, coaching, counseling, and salary administration. Prepare and manage the local office budget and business plan, monitor financial reports, and oversee collections and billing. Ensure that all facilities and office services functions are well organized, productive, and effectively supporting the needs of the office. These services include reception, mail, photocopy, messenger, purchasing, and supplies. Manage relations with local vendors and local representatives of national vendors, and serve as a liaison to local property management and corporate departments. Maintain local office emergency response and safety programs, security system, and physical security of space. Work collaboratively with local attorneys, corporate and regional resources to identify and implement individual attorney and local office client development, marketing, and promotional opportunities. Manage secretarial support, coverage, and workflow, and paralegal support, utilization, and case assignments. Manage local adherence of new business intake, docket/calendar systems and compliance, records management, and case filing. Work collaboratively with corporate and regional IT personnel to ensure functionality of all systems, and coordinate local rollouts and initiatives. Maintain local office CLE records and ensure compliance with state requirements. Participate in lateral attorney recruiting and manage client intake procedure and file transfer procedure for lateral shareholders. Direct the planning and implementation of various office events such as client events, holiday parties, staff appreciation activities, and other social events sponsored by the office. What do you need to succeed as an Office Administrator? Bachelor\'s degree or higher required. Minimum of five (5) years of dedicated office management experience with law firm or other professional service organizations. Thorough understanding of law firm or professional services administration, facilities management, and human resources management. Must have direct experience in all the key functional areas of the position. Excellent communication, interpersonal, and leadership skills. Strong organizational, analytical, and problem-solving skills. Ability to work independently and collaboratively, and to handle multiple tasks and deadlines. Proficiency in Microsoft Office applications and other relevant software. Seniority level
