We have an exciting opportunity to join our team as a Faculty Group Practice Patient Care Assistant (37.5 hours). Responsibilities

General duties Greets patients and completes check-in and check-out processes as needed. Answers phones and schedules appointments. Addresses questions or routes calls/messages to the appropriate contact. Supports efficient patient workflows by escorting patients to exam rooms and preparing rooms for provider visits. Validates patient medical records per FGP guidelines when accessing and/or updating information. Takes vital signs and records in the Electronic Medical Record. Assists with the collection of lab specimens. Supports FGP access and quality initiatives. Performs other duties as needed. Clinical Responsibilities

Completes necessary intake, including obtaining patient vital signs and other tests within defined scope of practice as needed. Follows guidelines for validating patient medical records when accessing/updating information, including patient name and date of birth. Maintains patient flow to and from exam/treatment rooms; escorts patients and specimens as needed. Ensures exam rooms and treatment areas are cleaned per infection control standards after each patient. Communicates the functionality and purpose of MyChart to patients during intake. Ensures translation services or equipment are in place prior to the start of visit. Preps the patient encounter ensuring all relevant information is up-to-date (bloodwork, radiology images, medications, past medical history). Reviews and imports any required documents before provider encounter. Works with the clinical team to ensure logs for equipment, specimen collection, and other clinical safety measures are followed per standards. Maintains patient privacy per HIPAA standards. Handles appropriate patient calls and documents outcomes of all patient communications as needed. Assists with in-basket message management and related tasks as per best practices. Utilizes EPIC to review/update patient records and maintain communication with peers and supervisors related to patient care. Assists providers with procedures and/or setup as needed by specialty. Stocks exam/treatment rooms and supply closets with medical supplies and equipment; communicates replenishment needs. Cleans and sterilizes designated equipment after use per FGP, IPC, and manufacturer standards. Supports clinical quality management by maintaining documentation of supplies and equipment. Follows downtime procedures as it relates to patient visits. Completes annual competencies (e.g., Fire Safety, Hazardous Waste, HIPAA compliance). Administrative Responsibilities

Greets patients and performs intake, including registration, forms collection, updating information, and co-payment collection. Monitors the Department Appointment Report for appointment notes, insurance flags, and patients needing assistance. Gathers patient demographic data, verifies insurance eligibility, and collects referrals when applicable. Informs and collects patient and financial-related documents and policies (HIPAA, etc.). Enrolls patients above age 5 to Patient Secure using palm scan and photo where required. Promotes use of Check Mate kiosks; assists patients with kiosk use. Scans documents into Epic; ensures correct location and document type for easy retrieval. Monitors waiting areas for wait times and communicates as needed. Performs check-out, provides after-visit summaries, schedules follow-ups, and handles time-of-service payments when applicable; promotes MyChart use. Answers calls professionally; schedules routine appointments and follow-ups. Verifies/edits patient demographic information on subsequent visits; collects missing information as needed. Answers questions to ensure understanding and satisfaction; refers to senior staff or billing when needed. Handles inquiries about medical records per HIPAA and ROI guidelines; documents disclosures in EPIC and fulfills requests within 10 days. Maintains patient privacy per HIPAA standards. Directs pre-authorizations/certifications to appropriate staff. Manages front-end work queues and in-basket messages in a timely manner. Stays current on best practices, policies, and protocols; maintains cleanliness of spaces and restocks supplies. Demonstrates service standards and supports staff relationships across departments. Provides needed forms and letters for patient/provider needs. Maintains professional relationships with physicians, nurses, and staff. Prioritizes assignments to meet deadlines in a dynamic workload environment. Exercises effective communication across roles and levels. Performs other duties as needed by providers and supervisors. Patient Experience and Access

Serves as NYU Langone Health Faculty Group Practice Brand Ambassador, upholding mission, vision, and values and promoting patient experience excellence. Demonstrates CARES principles in patient and colleague encounters. Greets patients professionally, communicates steps clearly, and collaborates with management to ensure timely resolution. Anticipates patient needs and participates in service recovery when appropriate. Shares improvement ideas with leadership to enhance patient experience and access. Partners with Patient Access Center and Central Billing Office to support a positive patient experience. Ensures staff are versed in Access Agreement principles. Minimum Qualifications

High school graduate or equivalent required. Working knowledge of English (verbal and written). Computer skills. At least one year of experience as a Patient Care Assistant or Medical Assistant within the last two years. Ability to multitask and thrive in a team-oriented environment that pursues a positive patient care experience. Preferred Licenses

Medical Assistant Certificate Preferred Qualifications

Medical Assistant certification preferred Proficiency in venipuncture and phlebotomy preferred Qualified candidates must be able to effectively communicate with all levels of the organization.
