Overview
Reporting to the Business Manager of Emergency Services, the Staffing Specialist manages day‑to‑day scheduling and payroll operations for emergency services. She ensures adequate coverage for each shift, proactively plans for future shifts, and maintains employee information within the organization’s computerized resource management system. The role also performs complex clerical functions, validates time and attendance data, and collaborates closely with nursing leadership to meet staffing needs and maintain cost‑effective solutions.
Responsibilities
Review department schedules to ensure all shifts are filled and covered.
Arrange coverage using existing and potential resources, maintaining appropriate staffing ratios.
Prepare payroll data, including time sheets, adjustments, and special pay forms.
Utilize the scheduling system to track, schedule, and record staff assignments and attendance, keeping employee information current.
Generate and analyze management reports on staffing and payroll.
Communicate with nurse leaders to identify staffing gaps and address intervention needs.
Assist with cost containment by encouraging use of benefit time during low census periods.
Maintain confidentiality of sensitive information and ensure timely flow of data throughout the department.
Support new employees with clerical operation guidance and system training.
Perform other clerical duties such as filing, report preparation, and record keeping.
Qualifications Basic Knowledge:
High school diploma or General Equivalency Diploma; ability to handle stressful situations, multitask, and problem‑solve. Excellent communication and customer service skills; proficiency with computer applications; and strong organizational and analytical abilities.
Experience:
Preferred 2‑3 years of related experience; familiarity with department operations and associated regulations.
Work Environment & Physical Requirements Fast-paced office environment requiring frequent fine‑motor skills and the ability to handle urgent staffing changes. Work is conducted under general supervision.
Salary & Compensation $65,000.00 – $83,000.00
Schedule 3:00 p.m. – 3:30 a.m. (Evening). Daily hours: 12 hours.
