Job Summary
Reporting to the Director of Finance, the Payroll Specialist is responsible for processing payroll for multiple states on a biweekly schedule, creating and maintaining reports, and responding to payroll-related inquiries. The role requires a strong understanding of applicable processes, state and county payroll laws, and tax regulations.
Responsibilities
Ensure employees are paid in a timely and accurate manner.
Manage the end-to-end payroll cycle for multiple employee groups.
Process multi‑tax jurisdiction payrolls for roughly 1,200 employees on a biweekly pay frequency, including hourly and salaried employees.
Assist with reporting and analytics for senior management and the Finance Department.
Provide administrative support for payroll-related functions and inquiries, resolving discrepancies professionally and promptly.
Verify funds for stop payments are correctly credited to the appropriate accounts.
Support month‑end and year‑end closing activities, including processing required documentation.
Determine correct pay amounts by applying overtime rates, deductions, and bonuses through computerized systems.
Process wage garnishments, tax withholdings, and other payroll deductions as needed.
Validate and remit 403(b) payments, ensuring accuracy and timeliness.
Track hourly rates, wages, compensation benefit rates, and new‑hire information changes.
Monitor and report overtime hours, identifying trends with bi‑weekly reports.
Assist with audit requirements, providing schedules and documents related to financial statement audits, 403(b) audits, and workers' compensation audits.
Act as a team player and perform special projects as needed.
Qualifications
5+ years of experience in a payroll position.
Bachelor’s degree (preferred but not required). Accounting or relevant field experience is a plus.
Proficiency with Paycom or similar payroll system.
Strong ability to generate payroll reports and analytics.
Proficient in Microsoft Excel.
Knowledge of payroll best practices and applicable payroll taxes, laws, and regulations for NY, NJ, and PA.
Adherence to internal controls and strong confidentiality skills.
Highly organized with meticulous attention to detail.
Excellent verbal and written communication skills.
Adaptable to change and capable of managing multiple priorities.
Self‑starter who manages assigned workflows independently.
