Overview

Administrative Assistant at City of Pocatello performs a wide range of office support functions using independent judgment to apply policies and respond to inquiries, explain department services, and coordinate office functions with discretion. It serves as a point of contact for staff and the public to identify who is responsible for tasks and where work stands.

Responsibilities

  • Manage and maintain one or more department databases; perform research, compile data, and prepare reports or presentations; compose correspondence from initiative or general instructions; format and type sensitive, confidential, official, and/or legal documents.
  • Invoicing, processing accounts payable and accounts receivable, payroll and time records; prepare required reports (daily, monthly, annually); maintain related files.
  • Coordinate communications, support various meetings (including transcription), and manage office records and files; may be assigned special projects.
  • Answer inquiries and provide information to the public and to other City departments, businesses, and private individuals; interpret regulations and policies as needed to assist customers or staff.
  • Perform other duties as assigned; work under limited supervision following policies and guidelines; ensure compliance with City policies and safety practices.
  • Operate with attention to detail, organization, and follow instructions; maintain confidentiality and a professional demeanor in interactions with the public and staff.

Qualifications

  • High school diploma or GED; Preferred Associate’s Degree in Office Practices or related field; Three (3) years’ related administrative support experience, preferably in a governmental environment.
  • An equivalent combination of education and experience may be considered.

Knowledge, Skills and Abilities

  • Knowledge of department programs, objectives, policies and procedures; customer service principles; database management; record keeping and reporting; modern office functions and related software.
  • Skills to coordinate administrative functions, interpret complex information, perform advanced administrative tasks, manage databases, and prepare reports; effectively research and organize materials; operate a computer and related software; maintain professional relationships and confidentiality; communicate effectively in English; complete assignments timely; comply with rules and policies.

Physical Requirements

Frequent standing, walking, sitting, stooping, kneeling, bending; dexterity for keyboarding and handling materials; occasional lifting up to 25 pounds with assistance; required vision and hearing abilities; reasonable accommodations available.
